Over the past two years, we’ve worked with top brands and creators, executing campaigns for industry leaders such as MyHeritage, HelloFresh, Revolut UK, Holafly and more.

The Role

The Operations Lead plays a key part in the success of the agency on a day-to-day basis. As the business matures, operations become a key function to ensure that everything is planned, delivered and communicated on time to the expected quality.

The operations lead should see themselves as the MD of delivery. As the current number two to the CEO. They are responsible for getting the work done across the agency to a high quality and standard.

We are looking for someone who can take responsibility for the day-to-day execution of the business and ensure that our business operates in top shape, covering everything from resourcing, reporting and delivery.

Responsibilities

The duties and responsibilities of the role will include:

• Process Development and Optimisation: Designing, implementing and refining Standard Operating procedures across all areas of the business, ensuring the team is following these processes.

• Own the creation, management and maintenance of agency systems and tools. Implementing improvements and automations based on inefficiencies and team usage.

• Project Efficiency: Ensuring consistency, efficiency and quality across business execution.

• Manage and optimize team resources and capacity. Ensuring team members' tasks and time are managed productively through internal systems.

• Own business utilisation and maintain target utilisation rates.

• Manage agency gross margin, ensuring projects, retainers and influencer partnerships are priced to meet agency margin targets • Plan team capacity around incoming projects and forecast for future team growth requirements based on business targets and growth trajectory.

• Lead and manage weekly and monthly team planning sessions, which result in every team member having clear direction of tasks and projects needing completion, and time allocated for such.

• Create robust internal project timelines and client delivery plans, providing the team with clear direction across all required work.

• Support in new staff recruitment and manage the staff onboarding process

• Conduct and manage a KPI and PDP process for all direct reports.

• Identify training and development needs, ensuring employees have access to resources that support growth.

• Hold the team accountable for adhering to non-negotiables, performance requirements and expected behaviours. Conduct any relevant performance and disciplinary processes for non-compliance.

• Build, manage and maintain robust reporting dashboards, allowing a real-time view into the performance of the team and every client across key metrics such as client health, task completion, time tracking and capacity and campaign performance.

• Analyse reports and data to make informed decisions within the business.

• Lead relevant internal meetings within the business and capture specific action items to be dispersed across the business.

• Own the wash-up and feedback process to ensure continual improvement across the business and that each client and campaign creates relevant learning actions.

• Ensure the team is operating in line with the CEO’s vision and OKRs and daily actions are contributing towards the bigger picture.

• Report granular detail on key areas of the business's performance to the CEO, such as clients, delivery, margin, employee satisfaction, utilisation and efficiency, etc.

• Oversee and improve time to launch and turnaround campaigns.
