Dalkia have an opportunity for an Assistant Facilities Manager to join our team in Doxford, overseeing our corporate EDF office in Doxford, Sunderland as well as a small number of ancillary sites across the region.

Overview and Impact

The role of Assistant Facilities Manager is crucial in providing compliance and client satisfaction and will require great attention to detail. Contract specifications and Health & Safety are paramount as well as revenue management in line with budget constraints. The successful candidate should possess excellent communication skills and foster a collaborative and motivated working environment as well as the ability to manage a small team. Primarily based at EDF Call centre, Doxford Park, Sunderland, the role demands a customer centric attitude to ensure all guests are delivered a truly excellent experience whilst visiting the building. The candidate will assist the Facilities Manager in the provision of the service levels as agreed with the EDF facilities management team, ensuring the critical operation of the buildings in compliance with all legislation, company policy and guidelines available.

As this is a customer focused role, it may include dealing with challenging client requests, which must be dealt with in a diplomatic and tactful manner. It is important that there is a good understanding of the responsibilities and the mission of the business which should help the candidate remain focused in the priority and importance of issues raised. Excellent attention to detail as well as the ability to manage several responsibilities at once are desired attributes.

General overview of duties

* In the absence of the Facilities Manager work to ensure the smooth running of all operational areas of the Northern sites in conjunction with the Facilities team, including attendance at operational meetings.
* Manage allocated resources to meet daily schedules within the Northern sites, ensuring the FM is kept fully updated.
* With the support of the senior maintenance technician and team, Embrace, Develop, manage and maintain the standards and service level agreements within the scope of the contract.
* Ensure staff training is organised and updated as per company guidelines to satisfy the requirements of the contract.
* Ensure a safe working environment is maintained for customers, staff and contractors and that Health and safety and EDF “lifesaving” rules are met on site.
* Monitor and manage the performance of all staff and ensure probationary, mid-year and annual appraisals are completed.
* Manage all technical aspects of the buildings and associated plant, including maintenance of CD23 and TM31 logs books via the software provided.
* Ensure correct maintenance of all records in line with company and external auditing procedures.
* Undertake self-audits in line with contract requirements for all sites and ensure timely submission/support FM in monthly reporting.
* Manage all PPM & Reactive maintenance jobs – Monitor, Chase, organise and escalate when required.
* Manage contractor appointments, bookings and visits to ensure they supply correct paperwork and follow up to ensure required documentation is provided.
* Raise and Receipt PO’s, including investigation and resolution of invoicing queries. Raising and management of contractual call off service request process.
* Manage and monitor the onsite security team, via the managed service protocols within the contract.
* Manage H&S for all sites including completion of investigations. Ensure correct setting to work processes are adhered to. Ensure legal obligations are met.
* Manage Access control, CCTV and Key processes and equipment/software.
* Manage waste process for all sites.
* Manage the maintenance and upkeep of sites, including a grade 1 listed building.
* Manage site HR process including timesheets, holidays, recruitment, disciplinary process and on boarding of staff.
* Manage site emergency procedures and processes.
* Drive staff motivation and development.
* Act as site water controlling manager.
* Act as site F-gas AP.
* Act as Authorised person “Asbestos Duty to Manage.
* Admin duties as required including management of SharePoint site.
* Self-develop, with the assistance of the technical and management team to expand knowledge and experience.
* Any other duties that may be required and which are considered by the line manager to be consistent with the grade and the general responsibilities of the post and in line with the job profile.

Qualifications and Required Experience

A sound background in FM is desired for this role. A high level of general education is required in addition to administrative skills and competency with Microsoft Office packages, a full driving licence and good spoken and written English skills are essential.

The ideal person will already have experience as an Assistant Facilities Manager within a similar setting. The role could also suit someone with a good level of experience in a facilities management environment as a Facilities Coordinator.
