Clinical administration support · Support the preparation, checking and processing of clinical documentation/clinical notes in line with clinic process. · Send patient communications and create follow-up bookings/tasks resulting from clinical documentation. · Carry out secondary checks that key documents are present (consents, questionnaires, required forms). If gaps are identified, flag to the Practice Manager. 4) Referrals and follow-up administration · Support referral administration and tracking, ensuring referrals are created/sent where required. · Ensure actions are recorded correctly in Semble and follow-ups are task-managed and not missed. · Proactively chase missing information internally to avoid delays. 5) PASCOM and audit/admin inputs (where required) · Complete PASCOM-related admin input as required (e.g., surgery episode information, questionnaires, reports). · Ensure accuracy and timeliness in line with internal processes. 6) Gait reports administration (key responsibility) · Work alongside the clinical biomechanist to ensure gait reports are saved in the correct locations, contain all required information, and are progressed and sent to patients within agreed timescales. · Generate and send gait reports to patients using the agreed workflow(s). · Create follow-up tasks/notes as needed (including referral letters where appropriate). · Update the Gait tab on the tracker and keep it accurate. · Notify the relevant clinician/consultant when input or sign-off is required and track completion. 7) Cross-cover across admin areas · Provide flexible cover for other admin functions when needed (e.g., supporting reception processes, supporting clinic-based admin tasks, assisting with backlog during leave). · Keep work moving by creating tasks, saving documents correctly, and ensuring nothing stalls when team members are away. 8) General support · Assist with ad hoc administrative tasks required to support clinic operations. Skills and requirements · Strong telephone manner and confident communication with patients. · Excellent written English and attention to detail (letters, emails, record-keeping). · Highly organised: able to manage multiple priorities, task lists and follow-ups. · Comfortable using Semble, trackers and templates (training provided).
