Hope for the Future is a national climate charity, headquartered in Sheffield, working to support citizens across the UK to secure greater and more ambitious action on climate change from national and local government by having effective conversations with their elected representatives.

About the role

We are looking for a dedicated and highly organised individual to support the administrative, HR, and finance functions at Hope for the Future. You will play a central role in ensuring the efficient and effective running of the charity, supporting delivery teams and contributing to our internal systems.

The successful candidate will be values-driven, with strong attention to detail and a commitment to equality and climate action.

Terms and conditions

Hours: Full time (35 hours per week) with working hours and locations flexible following our flexible working policy and Home-hybrid working policy. A limited amount of evening and weekend work may be required.

Location: Sheffield Office. Home-working/hybrid options available.

Key Responsibilities

Support the HFTF team in the following:

Charity and general administration

* Developing and maintaining general administration systems/processes to enable the efficient and effective running of the charity including Finance & HR admin and our CRM database.
* Providing a comprehensive administration service to the HFTF team and the Board of Trustees, including taking minutes at meetings.
* Support the development and maintenance of internal systems and processes.

Finance Administration Support

* Support with day-to-day financial administration, including managing the finance inbox.
* Ensuring timely processing of payments and expense claims.
* Maintaining accurate records of invoices and purchase orders.

HR Administration

* Support with the full HR cycle for staff and volunteers (including Trustees) - recruitment, onboarding, and leavers.
* Maintain accurate HR records including contracts, absence logs, and training administration.
* Assist in policy reviews and updates, ensuring documentation is current and accessible, and keeping the staff handbook of policies and procedures up to date.
* Support the coordination of training and development opportunities for staff and volunteers including booking and administering training and supporting the organisation of HFTF’s quarterly Team Development Days.
* Assist with developing HR and policy guidance documents and resources for staff and volunteers.

Delivery Team Support

* Booking travel and accommodation and supporting other general administrative requirements.
* Provide administrative support with events.
* Support staff in entering and updating data from our day to day contacts and from our Climate Connect website into our CRM system, Beacon (training will be provided).
* Provide administrative support with events, grant applications, funding reports, and other general administrative tasks.
* Provide administrative support to the Marketing and Communications team.

Information Management and IT

* Maintain the equipment register and support IT-related admin.
* Support compliance with data protection legislation and internal protocols.
* Manage the Google Workspace Folders, ensuring up to date documentation and archiving of out of date documents.

Other Duties

* Provide timely and friendly support in response to internal queries regarding HR or admin processes.
* Promote inclusive and collaborative working practices aligned with HFTF’s mission and values.
* Undertake other reasonable tasks as required
