Receptionist / Administrator – Pure Physiotherapy (Bedford Clinic)

Pure Physiotherapy is looking for a friendly, organised and professional Receptionist/Administrator to join our Bedford clinic. This is a dual function role combining front of house reception duties with essential administrative support to keep our clinic running smoothly and ensure every patient receives an exceptional experience.

About the Role
You will be the first point of contact for patients, visitors and referrers, providing a warm welcome and ensuring our reception area reflects the high standards of our clinic. Alongside this, you will support our clinical and operational teams with a wide range of administrative tasks that keep patient pathways running efficiently.
This role includes managing appointments, handling enquiries, processing referrals, supporting clinicians, and maintaining accurate records. Some lone working may be required.
Key Responsibilities
Patient Experience & Reception
* Provide a professional, welcoming and courteous experience for all patients and visitors.
* Greet patients, verify identity and record arrivals in the clinical system.
* Maintain a clean, organised and branded reception and waiting area.
* Manage walk in enquiries and offer appropriate guidance.
* Process payments for private services in line with company procedures.
* Support daily clinic operations, including opening and closing duties.
Administrative & Operational Support
* Manage multiple email inboxes and respond to queries promptly.
* Process new patient referrals, upload documentation and initiate first contact.
* Liaise with third party referrers to support patient treatment pathways.
* Update referrer systems with accurate and timely information.
* Upload and send discharge letters, reports and other communications.
* Support clinicians with administrative queries in person, by phone and online.
* Book, amend and cancel appointments, including managing rescheduling lists.
* Assist the customer service team with high volumes of incoming and outgoing calls.
* Maintain accurate records in line with confidentiality and data protection requirements.
Qualifications & Experience
* Experience in a patient facing or customer service environment.
* Previous administrative experience in a customer focused setting.
* Healthcare or public facing experience is desirable.
* Experience handling queries, concerns or complaints.
Skills
* Excellent customer service and interpersonal skills.
* Confident in a public facing role.
* Comfortable managing high call volumes.
* Strong organisational and multitasking abilities.
* Able to prioritise effectively in a busy environment.
