Our client, a well established GP Practice based in East Kilbride are looking for an enthusiastic candidate to join their team as a Medical Administrator. Job details as follows: \n\nReception Duties (including covering the front desk):\n\uF0B7 Dealing with patientsâ enquiries, checking patients in when necessary.\n\uF0B7 Pharmacy collections throughout the day.\nCall Handling:\n\uF0B7 Staff are allocated to phone duty on a shift rotation when they are dedicated to answering the phone\n\uF0B7 There are times when the telephonists may all be caught up with specific patient queries and the phones start to queue; all staff are expected to answer a ringing phone if nobody else is available to handle the call at that point.\nAdministration duties:\n\uF0B7 Processing Docman (software for handling electronic documents), Mail manager (software for handling test results and communicating with GP messages to patients) within Vision (patient records management software).\n\uF0B7 Phoning patients, phoning hospitals to liaise over patient care, interacting with District Nurses to ensure patients are attended to.\n\uF0B7 Answering the phone and making patient appointments\n\uF0B7 Processing prescription requests\n\uF0B7 New patient registrations, deducting patients who are transferring elsewhere, liaising with the health board practitioner services over patient registrations, child health surveillance,\n\uF0B7 Responding to lawyersâ letters as instructed by GPs, insurance reports, patients requesting copies of their records, etc.\n\uF0B7 Downloading photographs from the generic mailbox and saving these to aid patient consultations\n\uF0B7 Encrypting documents and handling secure email corridors for the transmission of sensitive data to and from patients.\n\uF0B7 Daily opening up and closing down processes Administration:\n\uF0B7 The use of bespoke software as well as Microsoft applications including email, website editing, internal TV media.\n\uF0B7 Medical terminology\n\uF0B7 Information handling and the principles of Data Protection, Patient Confidentiality, GDPR, Caldicott Guidelines; how best to apply judgment when processing information.\n\uF0B7 Health & Safety, Fire Safety, Security (both personal and of patients)\n\uF0B7 Electronic document handling\n\uF0B7 Clinical test results messaging and communication with patients\n\uF0B7 Hospital liaison on behalf of clinicians\n\uF0B7 An understanding of the secretarial system in order to provide support when and if required. There are no set requirements for this role in terms of qualifications, however Math and English at National 5, along with IT/Admin would be advantageous. This role requires someone with a outgoing personality and able to communicate well, whilst also using computer systems.
