Administrator (Part-Time, Home-Based) Hours: 15 hours per week (across 5 days, with am and pm availability) Salary: Negotiable (pro rata) £24,500-£26,500 per annum depending on experience Location: Home-based, with monthly meetings in Aldridge or Sutton Coldfield About the Role We are looking for a highly organised, proactive Administrator to support the Directors and Clinical Team of a small, well-established private physiotherapy business. This is a varied and rewarding role at the heart of the organisation, playing a key part in ensuring our services are delivered smoothly, professionally, and in line with regulatory requirements. You will be responsible for a broad range of administrative, compliance, customer service, and coordination tasks, working closely with clinicians, patients, and external professionals. Key Responsibilities Patient Referrals & Onboarding • Manage and process all new referrals from a range of sources (website, email, phone, social media, case managers) • Issue appointment confirmations and onboarding paperwork • Set up and maintain accurate patient records on clinical systems • Prepare costings and liaise with case managers regarding approvals and documentation • Allocate referrals to therapists in collaboration with Directors • Manage patient discharges and onward referrals Scheduling & Diary Coordination • Book, amend, and coordinate appointments • Monitor therapist availability and capacity • Support cover arrangements for annual leave or sickness • Send appointment reminders and update shared calendars Clinical Administration & Reporting • Format, quality-check, password-protect, and distribute clinical reports • Maintain case manager contact lists and tracking spreadsheets • Prepare and submit monthly statistics Compliance, Governance & Regulation • Manage DBS applications, renewals, and update checks • Support Right to Work checks and mandatory training compliance • Track professional registrations and insurance documentation • Maintain GDPR compliance, including subject access requests and data housekeeping • Assist with policy updates and internal audits HR & Staff Administration • Onboard new staff (contracts, references, compliance checks) • Maintain staff records and databases • Support internal training events and CPD tracking • Organise staff communications, uniforms, and occasional social events Marketing & Business Support • Respond to website and social media enquiries • Update website content and support social media activity • Assist with marketing materials, Google Ads, and market research • Collect and record service feedback General Administration • Maintain structured digital filing systems • Order equipment and process company purchases • Prepare agendas and attend monthly administration meetings with Directors About You You will be an experienced administrator who is confident working independently and enjoys managing a varied workload. Ideally, you will have experience in a healthcare or regulated environment.
