Description Job title: Billing Team Administrator Location: Birmingham Hours: Full-time | 9:30am – 5:30pm (flexibility required during busy periods) Department: Finance – Billing Are you organised, detail‑driven and looking to build your career within a busy Finance team? We’re looking for a Billing Team Administrator to join our Birmingham office and play a key role in supporting our Billing Team with essential administrative and financial processes. This is a fantastic opportunity for someone who is keen to learn, enjoys working with numbers, and thrives in a fast‑paced environment. About the Role Reporting to the Assistant Billing Manager, you'll help keep our Billing Team running smoothly by managing shared mailboxes, processing soft cost uploads, and assisting with a variety of billing‑related tasks. Key Responsibilities In this role, you will: Monitor Billing Team mailboxes and respond to queries promptly Post soft costs such as courier and special delivery charges Assist with soft cost uploads (e.g., land registry search fees, photocopying, catering recharges) Raise prebills for Trademark matters and circulate them to PAs Run iFinance reports and export to Excel to reconcile prebills Process time and disbursement transfers in line with the Firm’s Time Recording Policy, challenging non‑compliant requests Process time and disbursement write‑offs in line with the Additional Discount Policy Amend phase and task time entries, ensuring accuracy Coordinate the standard report pack for audit enquiries Undertake financial housekeeping, including matter closures Provide cover for other team members during absences Support with additional ad hoc duties as required About You You’ll bring a proactive attitude, great organisational skills, and the ability to work accurately under pressure. You’ll enjoy being part of a team and be comfortable using your initiative to solve problems. Experience (Not essential but desirable) Experience in a professional services or finance/office environment Aderant system experience Skills Strong numeracy Ability to prioritise in a busy environment and meet deadlines Confident IT skills, especially Excel High attention to detail and accuracy Clear written and verbal communication Personal Qualities A strong team player Organised and methodical Positive, proactive approach Keen to learn and develop Professional manner Strong time management skills Why Join Us?
