Job Overview
We are looking for an Executive Assistant to provide a comprehensive service to the Executive team, covering all aspects of secretarial, administrative and organisational support. The successful candidate will assist in the overall development of the service to ensure it operates efficiently and effectively, serving the Group Chief People Officer, Executive team, Non‑Executive Directors, Board sub‑committees and other stakeholders.
Key Responsibilities
* Provide EA service to the Group Chief People Officer.
* Support the Executive team and Non‑Executive Directors as and when required, covering annual leave/sickness, meetings and daily SITReports.
* Administer monthly support at Board sub‑committees: produce formal minutes, action logs, collate papers and support meetings.
* Supervise other administration staff within the corporate office support team, ensuring work is covered during leave, sickness and fluctuating workloads.
* Manage diaries, arrange complex meetings and travel, and support correspondence for approval.
* Support HR hearings and investigations with note‑taking when requested.
* Contribute to the development of services and systems to meet changing needs.

Person Specification
Essential Criteria
* At least 3 years’ experience in a senior administrative role or as a PA/EA at executive director level; equivalent experience in a large, complex organisation.
* Previous line management and people‑management experience.
* Ability to work autonomously with excellent secretarial and communication skills.
* Experience in minute‑taking, report preparation, agenda setting and distribution of associated papers.
* Diary management and arranging complex meetings; organising travel and accommodation.
* Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
* High-level written and verbal communication; planning and organisational skills.
* Strong multi‑tasking, problem‑solving and adaptability to change.
* Conscientious, responsible, discreet, self‑motivated, proactive, with a positive ‘can‑do’ attitude.
* Team player, confident, articulate and committed to quality and best practice.
Desirable Criteria
* Understanding of Provide’s organisation beyond NHS focus.
Experience
* Ability to travel independently across Mid Essex and beyond, as required.
