Responsibilities:
1. Map, analyze, and document business processes across teams, especially within the People department and cross-functional collaborations, using tools like Visio, Lucidchart, or similar.
2. Support business architecture initiatives to ensure processes align with organizational goals and compliance needs.
3. Collaborate with stakeholders to identify and implement process improvements that enhance efficiency and user experience.
4. Assist in project coordination efforts within a PMO or delivery environment, tracking deliverables, timelines, and dependencies.
5. Maintain and improve process documentation.
6. Act as a system administrator for tools such as Greenhouse and Zendesk, handling workflow customization and user support (no coding required).
7. Support end-user testing activities (UAT) for HCM system changes, new features, and configuration updates.
8. Document and track testing outcomes, issues, and resolutions, ensuring alignment with the implementation timeline and pre-go-live validation.
9. Create clear, step-by-step user guides, FAQs, and reference documents for complex systems or processes, and deliver user training sessions (virtual or in-person), including process walk-throughs, refreshers, or role-based onboarding.

The Role:
We're seeking a proactive, detail-oriented Process & Systems Analyst / Specialist to support process design, documentation, and improvement, focusing on HR and HRIS systems. This role combines process design & improvement, system administration, and project coordination, aiming to streamline people operations and enhance user experience. You will contribute to project delivery through formal PMO activities, ideal for someone passionate about improving workflows and collaborating across functions.
What You’ll Bring:
* 1-4 years of experience in a process or systems role.
* Experience working with HR teams or in HR-related environments.
* PMO, Project Coordinator, or Business Analyst experience in change or transformation projects.
* Strong interpersonal skills for cross-functional collaboration and requirement gathering.
* Ability to understand stakeholder needs and translate them into process or tool improvements.
* Proficiency in business process mapping and workflow design.
* Excellent problem-solving, documentation, and communication skills.
* Ability to manage multiple deadlines and priorities efficiently.
* Organized, self-motivated, and capable of handling multiple projects.
* Experience with process mapping tools like Visio or similar.
* Proficiency in Excel, Google Sheets, and PowerPoint/Slides.
Ideally You Will Have:
* Experience with Workday, especially HR and core HCM processes.
* PMO certification (e.g., PRINCE2, PMP).
* Experience with JIRA or similar project management tools.
* Experience with Zendesk workflow/routing setup.
* Experience with Greenhouse (pipeline, templates, user management).
* Experience customizing and administering HRIS tools.
