EA to CEO & Office Manager
Location: North London, office-based, 4-5 days per week in office
Full-time, 40 hours per week (including 1-hour paid lunch)
Travel: Quarterly Trustee Board meetings (primarily London-based, occasional evenings)
We are seeking an experienced and highly organised Executive Assistant to provide high-level support to our CEO and Senior Leadership Team. This is a pivotal, hands-on role combining executive support, governance coordination, HR administration, and operational process improvement. Working within a children’s bereavement charity, this role requires a high level of emotional maturity, sensitivity, and discretion, with the ability to handle confidential and emotionally sensitive information professionally and compassionately.
Key Responsibilities
Executive Support

* Complex diary and travel management for the CEO
\t
* Preparation of briefing packs, correspondence and expense processing
\t
* Provide wider support to the Senior Leadership Team as required
Trustee Board & Governance
\t
* Coordinate quarterly Board and committee meetings (agenda preparation, papers, logistics)
\t
* Manage digital meeting platforms (MS Teams/Zoom)
\t
* Oversee minute-taking, action tracking and secure document management
HR Administration & Onboarding
\t
* Manage end-to-end new starter administration (HRIS input, personnel files, access setup)
\t
* Coordinate DBS checks and ensure secure, compliant handling
\t
* Arrange inductions and mandatory training; track completion
Systems & Compliance
\t
* Map, document and improve core administrative and HR processes
\t
* Develop templates, checklists and registers to ensure audit readiness
\t
* Maintain accurate, GDPR-compliant record keeping
Office & Operational Coordination
\t
* Act as primary contact for head office administration
\t
* Coordinate office events and training sessions
What We’re Looking For
Essential
\t
* Proven experience supporting C-suite or senior leaders
\t
* Strong diary, travel and meeting management skills
\t
* Experience supporting Board/committee governance
\t
* Knowledge of UK DBS processes and HR/GDPR compliance
\t
* High proficiency in Microsoft 365 and digital meeting platforms
\t
* Exceptional organisation, discretion and attention to detail
\t
* High emotional intelligence, resilience, and the ability to work sensitively within a bereavement-focused environment
