Role based in Haywards Heath - modern offices - 10 min walk from the station. Some parking available on site along with nearby free street parking.
Salary - £27000-£30000 per year - very good all round company benefits, including excellent pension scheme along with life insurance and regular salary reviews. Holiday entitlement starts at 20 days plus all bank holidays - this increases with length of service
The Role - Executive Assistant / Team Assistant
The Team Assistant / Executive Assistant will provide administrative and organisational support to the senior leadership and wider internal teams within a growing outsourced service provider to the insurance sector. This role is pivotal in ensuring efficient daily operations, acting as a liaison between departments, managing communication flows, and supporting both strategic and day-to-day activities.

Executive Assistant / Team Assistant - duties include:
Provide administrative support to the Director and senior team members
Co-ordinate diaries, arrange meetings, and manage calendars
Prepare meeting materials including agendas and reports
Monitor shared in-boxes, triage enquiries, and ensure prompt responses
Act as first point of contact for client liaison via email and phone
Maintain and update internal systems, contact databases, and documentation
Support compliance-related administration and internal communications
Assist with document formatting, filing, and office organisation
Facilitate on-boarding processes for new staff
Collaborate with other departments to support operational needs
The Person:
The successful candidate will be a proactive and adaptable administrator with excellent communication skills and a high degree of professionalism. They will demonstrate the ability to manage multiple tasks simultaneously and maintain attention to detail in a fast-paced / busy environment.
It is important to like pets as sometimes there are small (well behaved) dogs in the office.
Experience, competencies and knowledge required
Prior experience in a similar support role
Strong organisational and time management skills
Proficiency in Microsoft Office, particularly Excel, Outlook, and Word
Confident in liaising with clients and supporting cross-functional teams
Experience working in a small or medium-sized business setting
Familiarity with regulated industries (e.g., insurance, financial services, legal) would be preferable
Ability to handle confidential information with discretion
