Job Title: Building Supervisor (with supervision)

Reports To: School Principal

Job Purpose: To provide on‑site supervision, cleaning and non‑cleaning services under the direction of the designated line manager or other authorised person and in accordance with the practices and procedures of the Education Authority.


Main Duties and Responsibilities


Security

* Ensure the security of the premises and its contents.
* Open and close the premises and grounds, except where another authorised person is assigned.
* Confirm all windows, doors and gates are locked at the end of each day.
* Safeguard keys of the premises and ensure key return by cleaning staff at day‑end.
* Operate and monitor security camera system, including changing and storing tapes.
* Operate fire, burglar and building security systems and report any faults.
* Attend after‑hour break‑ins and vandalism incidents and secure premises promptly.
* Report suspicious activity immediately to the designated line manager.
* Report any breach of security, such as needle findings or illegal substance use.
* Apply grit or rock salt during snow and frost to keep pathways and entrances clear.


Mechanical and Electrical Services

* Operate and maintain boiler/heating systems, ensuring energy conservation.
* Maintain lighting and heating, and routine maintenance of plant including school meals accommodation.
* Requisition adequate fuel in a timely manner and monitor usage of fuel, water and electricity.
* Replace lamps, tubes and plugs where required.
* Inspect and report defects on firefighting equipment.
* Chemically dose, clean and maintain water levels of any swimming or hydrotherapy pools.


Cleaning

* Clean the premises, excluding the accommodation used solely for school meals.
* Plan, organise and control cleaning staff, ensuring Education Authority standards are met.
* Consult with service users to plan periodic work and report to the line manager.
* Recommend and implement changes in work procedures to improve economy and standards.
* Monitor suitability and performance of cleaning materials, advising where appropriate.
* Ensure hard surfaces, paths and ornamental grounds are clean and free of litter.
* Maintain external surface drains, gullies and grease traps and ensure they are clear.
* Wash and clean bins, including school meals bins, and empty litter bins daily.
* Provide ongoing cleaning for spillage, flooding, midday toilet cleaning and weather‑related issues.
* Replenish toilet rolls, soaps, paper towels and other supplies throughout the day.
* Inspect sandpits daily, remove sand from fouled areas and replace contents as required.
* Clean external signs and light covers up to 3.35 m.
* Clean non‑electrical fittings on portable heating and ventilation equipment.
* Maintain adequate supplies of materials and equipment within the budget and keep equipment in good condition.
* Report cleaning equipment defects to the line manager.
* Prepare premises for after‑school activities and normal use.
* Direct and clean internal fixed glass surfaces up to 3.35 m.
* Ensure cleaning staff wear PPE and workwear when provided.
* Maintain cleaning standards; investigate complaints and advise the line manager.


Porterage

* Receive and transport stores, materials and goods including school meals and milk, and distribute within the building.
* Dispatch laundry, goods and other materials from the building.
* Assist with setting out and removal of tables and chairs for dual‑use spaces and clean the rooms.
* Transport refuse bins to collection points.
* Prepare rooms for examinations and other purposes.


Administration

* Prepare reports on cleaning and interior/exterior defects.
* Organise employment of outside contractors as authorised by the line manager.
* Complete all paperwork and writing reports when required.
* Maintain records of consumable stocks and equipment inventory.
* Report electrical floor equipment defects immediately and keep repair records.
* Maintain staff attendance, holiday and absence records, authorised and returned promptly.


Handyperson Duties

* Perform duties within the competence of the post holder.


General Conditions

* All duties comply with: the Health and Safety at Work (NI) Order 1978; Acts of Parliament, Statutory Instruments and Regulations; COSHH Regulations; Codes of Practice.


Training

* Accept any training to facilitate duties up to and including the holder’s grade.
* Accept training for higher‑level jobs where required; payment is made only when duties must be performed.
* Carry out induction and refresher training of cleaning staff and keep records.


Elections

* Perform election‑related duties as determined by the joint negotiating committee when the school is used for election purposes.


Other Duties

* Perform duties within the purview of the grade as required.

Other duties and changes in responsibilities may be assigned in line with the post holder’s grade. The post holder shall promote good relations, equality of opportunity and adhere to equality legislation in accordance with Section 75 of the Northern Ireland Act (1998).
