Overview

Are you someone who has great people and interpersonal skills? Are you looking for a role where you can make a difference every day? Do you have a good eye for detail? We are looking for a full-time Team Administrator on a 12-month fixed-term contract at NHS West Sussex Talking Therapies - Long Term Conditions. Working days are Monday to Friday, 9.00 to 17.00 with occasional 8.00 to 16.00. The role is office based with some travel between the Worthing and Horsham offices. Some flexibility can be given around permanent office base, i.e. Worthing or Horsham.


Responsibilities

* Register patient referrals into the service as referrals are received online, via telephone or via other health professionals.
* Book appointments onto our patient database and handle patient enquiries.
* Provide administrative support to the wider clinical teams and maintain accurate records.
* Answer calls, respond to patient needs in a timely manner, and ensure accurate recording of patient information.
* Prioritise and multi-task in a busy office environment, liaising with team members to ensure continuity of service.
* Support service development for administrative processes to maximise efficiency and patient experience.


Qualifications and Skills

* Computer literate with competent IT skills, including Microsoft packages.
* Excellent organisational and communication skills; a pleasant telephone manner.
* Ability to work unsupervised, prioritise workload, demonstrate initiative and flexibility.
* Experience in customer service or a patient-facing role is advantageous.

Additional Information

The main priority of this position is to work as part of the Administrative Team and manage patient referrals into the service while providing comprehensive administrative support to the wider clinical and management team. Referrals will be made via telephone and online directly by patients and health care professionals. You will need to answer calls and respond to patient needs in a timely manner whilst ensuring accurate recording of patient information onto our patient database.

Excellent communication skills are essential to deal with a wide variety of patient queries and needs. The post holder must be able to document clear and accurate records that reflect information provided during the referral and screening process. This is a busy office working environment with varied daily tasks. It is therefore essential to possess the ability to prioritise and multi-task the competing demands of patients and colleagues alike.
