This is a 12-month contract for maternity cover.


What will you work on?

The Office Manager will manage and maintain the office structure and functions. The ideal candidate is an independent thinker who can make good judgments and manage unpredictable situations. The candidate should be well organized, efficient, resourceful and adaptable with a positive service attitude. The role requires flexibility and the ability to work independently with minimal supervision. The candidate supports occasional executive assistant duties to a senior Executive in a fast-paced position that requires a flawless work ethic and the ability to juggle multiple complex projects.


Office Manager Responsibilities

* Office Building Management: look after the wellbeing of staff onsite; ensure compliance with Fire Safety requirements; provide training to fire wardens and first aiders; conduct annual Health Safety refreshers for all employees.
* Support office renovations in the UK and assist with design and building of new showrooms; liaise weekly with the building landlord about contractors, safety, and parking.
* Manage office maintenance with contractors and deliveries (e.g., weekly food orders, plant maintenance).
* Ensure building safety checks are carried out by approved contractors (water, lighting, electrical, fire safety, air conditioning, etc.).
* Coordinate with the Property Manager to resolve property management needs; manage relationships with cleaning contractors and supervise daily facility inspections.
* Assist with project management and coordinate with trades to ensure timely completion of building construction, fit-out, renovations, electrical or A/V upgrades and furniture purchases/installations.
* Maintain and manage subscriptions (TV license, music licensing, copyright licensing, etc.) and waste/disposal/recycling procedures.
* Collaborate with the Office Assistant to ensure smooth office operation and a safe environment; work with Globe BID and local council on business park improvements and quarterly BID Board meetings.
* Ensure adherence to policies (visitor policy, safety policies); be available as a point of contact during evenings by security company.


Security

* Ensure Spin Master facilities are secure and safe at all times; conduct risk assessments and onsite audits for Fire, Health Safety and First Aid compliance.
* Keep notices and handbooks up to date; communicate FHS policies and legal requirements; report incidents monthly and ensure corrective actions are implemented.
* Coordinate with security regarding FHS, First Aid, and fire alarm testing; manage vendor relationships for security and access control.
* Manage staff passes for building access and liaise with security about timekeeping and office opening hours.
* Coordinate with document shredding vendor to ensure confidential disposal; conduct FHS and First Aid inductions for new staff.


Administration

* Set up suppliers in SAP or other systems following internal processes; regularly update parking and ANPR systems.
* Assist with organizing team-building events, social activities, charity initiatives, fundraising and donations.


Executive Assistant Responsibilities

* Manage the diary across multiple time zones, arrange appointments, hospitality, hotels, transport, visas, meeting rooms, and itineraries for international travel; prepare materials for meetings in advance.
* Handle incoming/outgoing correspondence and respond to general inquiries.
* Develop and maintain administration systems for easy access to information required by the SVP.
* Assist in managing the team, including vacation requests, expenses and approvals; prepare materials for executive meetings.
* Coordinate with other assistants to manage the executive; act as custodian of corporate documents and records; liaise with vendors/customers/partners.
* Additional duties as assigned (e.g., EU Business Reviews, Team meetings, Director+ meetings, Townhalls).
* EU Business Reviews: arrange agenda, attendance, venue, IT, travel, accommodation and hospitality; plan and coordinate executive visits to the UK office.
* Plan and track annual travel and event budgets; provide personnel and administrative support for business and personal matters; create annual planning calendar; coordinate international attendance and hotel rooming lists for large events for executive approval.


What are your skills and experience?

* Minimum 5 years of administration experience; at least 2 years supporting VP level or above.
* Proficient with MS Office (Word, PowerPoint, Excel) and Outlook.
* Strong organization, planning and communication skills; ability to work under pressure both independently and in a team.
* Excellent relationship-building skills, attention to detail and ability to manage multiple tasks and deadlines.
* Team player, able to delegate and maintain confidentiality; flexible and proactive with high energy levels.
* Strong verbal and written communication skills; capable of handling sensitive issues.
