Description
SANS Event Managers take responsibility for live (In Person) and Hybrid (combined in person and Live Online) public training events through the entire process, from contracting assistance, pre-event logistics, on-site event execution (in locations within the UK and across Europe), to invoicing and reporting. Each Event Manager has complete ownership of their allocated events from start to end. Event Managers must also run Live Online events, in accordance with Global Live Online procedures, working in a team to ensure the Live Online events run as smoothly as possible, and provide all planning and logistics for customer specific, in person Private Events.
Key Responsibilities
Courseware & Logistics Coordination
Plan, order, and manage courseware logistics to ensure all training materials and resources arrive on time.
Capacity & Registration Management
Monitor class capacities to ensure correct classroom allocation.
Mark classes as sold out when appropriate.
Work with Customer Service to manage waitlists effectively.
Marketing Oversight
Monitor marketing activity to ensure execution aligns with the approved event plan.
Instructor Coordination
Liaise with SANS training instructors to confirm travel, hotel arrangements, and other requirements.
Venue & Technical Operations Liaison
Coordinate final event arrangements with contracted venues.
Work with SANS technical operations staff to ensure adequate internet and network coverage.
Hospitality & Networking Events
Organise and facilitate instructor dinners and delegate drinks receptions.
On-site Event Management
Manage the event on-site with responsibility for overall quality and success.
Supervise hotel staff and SANS course facilitators.
Quality Assurance & Evaluations
Administer daily delegate evaluation sheets.
Liaise and follow up with delegates and instructors to maintain SANS course quality standards.
Financial Administration
Ensure accurate and timely deposit payments and final invoicing.
Maintain financial integrity of event costs and payments.
Process Improvement & Cross-Department Collaboration
Contribute to continuous improvement of business processes.
Collaborate across Operations, Sales, Marketing, Customer Service, and Finance to enhance efficiency.
Live Online Event Support
Assist with preparation and execution of Live Online-only events according to global procedures.
Skills, Knowledge and Expertise
Essential
2-5 years' experience in an event/venue management/planning role.
Experience of working to deliver against monthly, quarterly, and yearly quotas.
Working with cross functional teams across globally.
Educated to a good standard (ideally VWO Level 7 or equivalent).
Good IT skills, including use of MS programs such as word, and particularly excel and Google Docs.
A very strong team player with emotional maturity and a willingness to help whenever called.
Excellent interpersonal skills.
Ability to manage time and prioritise tasks.
Ability to use own initiative and work independently.
Effective communicator both written & verbal.
Fluency in English.
Not afraid to challenge the status quo.
Practical, with a pragmatic approach to problem-solving.
Able to follow SANS procedures & standards, ensuring the office is a safe and desirable place to work.
Able to adapt and handle change.
Willingness to travel within predominantly Europe.
Able to influence and challenge employees at all levels ensuring SANS standards & procedures are followed at all times.
Able to work in high pressure situations and deadline driven.
Excellent attention to detail and organised.
An affinity with business finance e.g. event costs, profit and loss etc.
Desirable
Ability to communicate, written and verbally, in another Modern European language.
