About The Role

You’ll be responsible for assisting the Maintenance Helpdesk Manager in providing maintenance support across the business. This includes allocating internal and external contractors throughout divisions with over 700 units across the UK, Ireland, and Netherlands. SSP units are located within Railway Stations, Airports, and shopping centres.


What You'll Be Doing

* Answering and triaging a high volume of incoming calls, logging work orders in Ostara (CRM software) (Agility).
* Liaising with Contractors via calls and emails to gather information and ensure urgent call-outs are attended promptly.
* Closing work orders and documenting engineers’ findings. Monitoring all communication channels for swift responses.
* Processing and monitoring contractor invoices using systems like Ostara, Imap, Compleat, SAP (Agility).
* Providing updates on critical outstanding works to relevant managers.
* Monitoring inspections and certificates, reporting on PPM programmes to the Maintenance Helpdesk Manager and Compliance Team Leader.
* Performing ad hoc duties such as minute-taking, updating spreadsheets, producing reports, and supporting contractor reviews.
* Uploading asset data and ensuring equipment issues are up to date.
* Participating in the OOH / Crisis service team, taking a mobile phone during evenings and weekends for 24/7 maintenance coverage, with additional payments based on daily rates.


To Be Successful In The Role You Will Need

* Excellent customer service, interpersonal skills, and telephone etiquette.
* Intermediate knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Strong numeracy and organizational skills.
* Ability to liaise confidently with all management levels within SSP.
* Self-motivated with the ability to work under pressure and meet deadlines.
* Attention to detail and accuracy in documentation.
* Maintenance experience is desirable but not essential.
