Summary
The Executive Administrator plays a critical role in enabling the CEO and Executive Team to operate effectively. The successful candidate will act as the operational hub of the executive office, proactively managing priorities, coordinating workflows, and ensuring that senior leaders are prepared, organised and focused on the highest‑value activities. The role requires a highly organised, confident individual who is comfortable working closely with senior leadership, managing competing priorities, and ensuring that actions and decisions move forward at pace.
Key Responsibilities & Accountabilities
Executive Support & Priority Management
* Own and productively manage the Executive Teams diaries to ensure time is allocated to the highest priority strategic work.
* Proactively coordinate Executive Team calendar entries, ensuring meetings are purposeful, well prepared and aligned with business priorities.
* Anticipate scheduling conflicts, shifting priorities and operational pressures, resolving them quickly and effectively.
* Act as the central coordination point for Executive Team activity, ensuring actions are tracked and completed.
Executive Office Management
* Ensure the CEO and Executive Team are fully prepared for meetings through effective briefing materials, agendas and documentation.
* Track actions arising from Executive meetings and drive follow‑up across departments.
* Manage travel arrangements, accommodation and logistics for the Executive Team.
Board Governance
* Coordinate all Board meetings including scheduling, preparation and distribution of Board papers and agendas.
* Compile Board packs and ensure documentation is accurate, organised and distributed in a timely manner.
* Attend Board meetings and produce clear, concise minutes and action summaries.
Executive Administration
* Manage Executive Team expenses and raise purchase orders across relevant projects and suppliers.
* Act as the central administrative liaison between departments when Executive Team input or decisions are required.
Franchise Network Governance Support
* Coordinate Franchisee Council and Working Group meetings across Trafalgar Education.
* Liaise with the Chair, Head Office teams and franchisees to organise agendas, documentation and meeting outputs.
* Capture and circulate actions and ensure follow‑up across the organisation.
Communications & Coordination
* Work as part of the Communications Team to coordinate the distribution of company bulletins and executive communications to the franchise network.
* Provide administrative support to the Performing in Life podcast, including guest scheduling, production coordination and logistics.
Legal & External Coordination
* Act as the administrative contact for external legal partners, coordinating trademark matters and legal correspondence where required.
* Ensure updates and key information are escalated appropriately to the Executive Team.
Events & Cross‑Team Support
* Support the organisation of company events and attend where required.
* Provide occasional cover for the wider Trafalgar Entertainment PA team and Woking Office Administrator.
* Provide administrative support to HR when required, including minute‑taking.
Knowledge & Skills Required
* Demonstrable experience supporting senior executives in a fast‑paced professional environment
* Highly organised with exceptional diary and time management capability
* Proactive and confident in managing senior stakeholders
* Strong ability to anticipate needs and resolve issues before they escalated
* Comfortable working with shifting priorities and multiple workstreams
* Excellent written communication and minute‑taking skills
* Strong attention to detail and organisational discipline
* High level of discretion and professionalism when handling confidential information
* Able to work independently and take ownership of workload
* Calm and effective under pressure
Experience
* Proven experience supporting senior leaders or executive teams in a dynamic organisation is essential.
* Candidates should demonstrate the ability to:
o manage complex executive diaries
o coordinate senior meetings and governance processes
o drive follow‑up and completion of actions across teams
