Trial Admin Assistant

Band 3 £25,760 - £27,476 per annum
Hours: 37.5 per week; all MKUH roles will be considered for flexible working
We are seeking an organised, proactive Trial Admin Assistant to join our dynamic Research & Development (R&D) Team.
This is an excellent opportunity for someone looking to begin or develop a career in clinical research administration within a supportive and collaborative environment.
Responsibilities
* Provide administrative support across the full lifecycle of research studies – including study set‑up, recruitment, documentation management, and close‑out.
* Maintain accurate and compliant trial documentation, support archiving activities, coordinate meetings, and communicate effectively with internal teams, clinicians, external sponsors, and research partners.
* Handle queries, maintain electronic and paper site files, prepare documents for monitoring visits, update databases such as the Local Portfolio Management System (LPMS), and support adherence to Good Clinical Practice (GCP) and UK research governance standards.
* Ensure study set‑up, maintenance and close‑down are carried out in accordance with Trust policies, SOPs and EU legislative requirements.
* Assist with archiving of studies in accordance with Trust Standard Operating Procedures.
* Provide support for core administrative duties within the R&D department as required.
* Liaise closely with R&D colleagues, staff from other departments, drug companies, device companies, academic organisations, CROs and other NHS Trusts, using email, telephone, video conferencing and shared calendars and drives.
* Arrange R&D meetings and external meetings, including booking rooms, preparing agendas and taking minutes.
* Work independently to manage incoming emails and telephone queries, ensuring relevant staff are notified for action.
* Maintain office equipment, order and manage office supplies and stationery.
* Adhere to strict version control of documentation, such as Investigator Site Files (ISF).
Requirements
Strong IT skills, attention to detail, and the ability to prioritise in a busy environment are essential.
