Our engineering depots are where the maintenance and upkeep of our train fleet takes place, ensuring the safe and reliable operation of our services across Scotland. Within these busy environments, the administration function plays a crucial role in providing essential support to the engineering teams. As a Support Assistant within the Engineering department, you will be an integral part of the depot team, responsible for a range of administrative tasks that contribute to the smooth running of daily operations. Your duties will include: * Acting as the first point of contact for visitors to the depot, managing the reception area by signing them in, providing necessary briefings, and ensuring a professional welcome. * Maintaining diary bookings. * Maintaining staff personal and safety files. * Processing staff-related information within relevant systems, such as processing payroll, holidays, and absence records. * Being involved in absence monitoring and conducting necessary follow-up procedures. * Managing the recording of operational events related to our electric train fleet using dedicated software. * Reporting any urgent facilities issues. * Keeping important information displayed on notice boards up to date. * Being involved in the upkeep of vehicle records using excel. There will also be a requirement to provide cover at our Corkerhill depot as and when needed. What you bring To be successful in this role you will be able to demonstrate: Essential Criteria: * You will have relevant skills and experienced at SCQF Level 5 demonstrating experience in an administrative role. * Experience in using standard office software (e.g., Outlook, Word & Excel) and possessing a high level of attention to detail and accuracy. * Experience of using dedicated software and systems relevant to administrative tasks for example payroll/finance systems * Organisational and time management skills, with the ability to plan, prioritise, and meet deadlines effectively. * Written and verbal communication skills, with the ability to build collaborative working relationships at all levels. Desirable Criteria: * Experience or knowledge of document management * GDPR knowledge and understanding * Experience of attending meetings and recording minutes Hours of work: 35-hour week. The post involves working Monday – Friday dayshift. Selection Process Selected candidates will be invited to a competency-based interview.
