Outline of role Reporting to the department Team Leader/Manager, a pivotal aspect of the role is to support their line manager and provide excellent customer service. A key responsibility is to ensure high standards of both external and internal communication in order to develop and maintain strong relationships with customers and suppliers. Crucial aspects of this role include process review and suggestions for improvement, workload planning, issue resolution, progression reporting, accountability for own outputs, working within budgets and expenditures, monitoring cost savings, and managing customer expectations in line with internal guidelines. Main responsibilities Build and maintain strong relationships with customers and suppliers, acting as a key point of contact to ensure clear communication, mutual trust, and long-term collaboration. Work within defined project budgets, monitoring expenditures closely and ensuring all activities deliver maximum value for cost. Support the successful delivery of projects in line with agreed schedules, assisting in planning, coordination, and timely completion of tasks and milestones. Manage and prioritise workload effectively, balancing competing deadlines and adapting to changing priorities without compromising quality. Identify and implement cost-effective solutions, seeking opportunities to reduce expenses while maintaining service excellence. Proactively suggest and support process improvements, using feedback, data, and observations to enhance efficiency, productivity, and customer satisfaction. Knowledge and experience required Ability to support the training and onboarding of new team members, ensuring a smooth integration into the department. Demonstrated accountability for the quality, accuracy, and timeliness of own outputs. Proven experience working within agreed budgets, with the ability to monitor and control expenditure. Competence in issue resolution, ensuring all matters are addressed in line with agreed Service Level Agreements (SLAs). High attention to detail, with a focus on data accuracy and the preparation of clear, concise reports. Consistently able to meet and, where possible, exceed customer expectations. Experience in project costings and invoice reconciliation. Strong financial awareness with previous experience managing budgets. Proficient in operating IT systems, including Microsoft Office applications and Sage 200 accounting software. Strong organisational skills, with the ability to manage and prioritise personal workload effectively. Quick to learn, adaptable, and able to prioritise tasks to meet tight deadlines. Skilled in managing a fast-paced, varied workload while maintaining high quality standards. Effective problem solver with strong initiative and attention to detail, ensuring accuracy and a “right first time” approach. Flexible team player, able to support the manager and collaborate with other teams as required. Resilient under pressure, capable of multi-tasking without compromising results. Receptive to feedback, with the ability to listen and follow direction.
