Clinic Coordinator

The role of Clinic Coordinator is to plan, build, manage and review the digital clinic schedule in Microsoft Excel, to ensure maximum efficiency of the clinical service. The post holder will work within University Hospitals Bristol and be responsible for organising a number of outpatient sexual health clinics across BNSSG. The role will also include the receipt and processing of referrals in accordance with the Patient Access Policy (PAP). The role is responsible for setting high standards of patient care by enacting the Trust's values at all times.
Main duties of the job
Communication
* A1. To support the triaging of referrals by liaising with key clinical staff
* A2. Manage patient communications both via telephone and through Trust systems to create letters, emails and text reminders
* A3. To act as a point of contact for queries from clinical and non-clinical staff
* A4. Liaise with clinical and non-clinical teams across the Trust via telephone and email
* A5. Escalate patient queries, capacity problems and general issues to the role's line manager or relevant clinical staff as appropriate
* A6. Communicate changes to clinics and appointments to patients as instructed, often at short notice
Organising and Planning
* C1. Work with members of the clinical team to manage the clinical rota
* C2. To manage and monitor all outstanding appointment requests through the local electronic patient record (EPR) and elevate any issues immediately to your manager
* C3. Ensure clinic lists are effectively used in discussion with the appropriate clinician and manager
* C4. Attend appropriate meetings as required by the role's line manager
* C5. To build the weekly clinic rota to ensure appropriate staffing levels, skill mix and room availability
* C6. Maintain clinic schedule templates, including cancellation of clinics and alteration of appointment slots as and when required under supervision of line management
* C7. Ensure that all staff leave is accounted for within clinic scheduling
* C8. Continuously review and improve relevant processes and workflow

Person Specification
Knowledge and experience
* Clerical / administrative experience, including filing and/or reception
* Experience of using an electronic patient record E
* Previous NHS experience
* Experience of dealing with the public, both on the telephone and in person
Qualificationsn and training
* Educated to GCSE, grade C or above (or equivalent) in English Language and Maths E
* Business and Administration Level 3 NVQ or equivalent experience
Skills and abilities
* Effective and polite manner when dealing with people, both face to face and on the telephone
* Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy
* Ability to work effectively in a busy team, adjust to change and motivate others
* Ability to work on your own, using your own initiative, if requiredEffective organisational skills
* Good IT skills including Microsoft packages
* Proficient in using Excel
* Ability to liaise effectively within a multidisciplinary team environment
* Ability to problem solve in rapidly changing environment
