Overview

Bangor University, established in 1884, has a continuing tradition of academic excellence, both in teaching and in research. The College of Medicine and Health consists of three Schools: North Wales Medical School, School of Health Sciences, and School of Psychology and Sport Sciences. This Administrative role is an exciting opportunity for an experienced administrator to work closely with the College Research team to create and improve the College’s research administrative functions and processes. Bangor University is a bilingual organisation and all staff are expected to work positively in a bilingual environment.


Purpose of the Job

* To provide administrative support to a range of activities associated with the research and impact function within the College of Medicine and Health.
* The post holder will work closely with the College Deans of Research, College Director of Research Postgraduate Studies, School Directors of Research and Impact, Ethics Chairs, and other key role holders within the College and its constituent Schools.
* The post holder will work with colleagues within Professional Services (e.g., Integrated Research & Impact Support Team) to support a range of research and impact related activities.


Main Duties and Responsibilities

* Provide effective administrative support to College Deans of Research, School Directors of Research and Impact and other key role holders.
* Assist with the organisation and day-to-day operation of the administrative research related processes and procedures for the College and Schools.
* Communicate effectively with staff and students and maintain effective working relationships with colleagues within the University and external bodies.
* Provide administrative support to College-level and School-level meetings, organise meetings, draft agendas, prepare papers, take minutes and circulate as appropriate.
* Work with stakeholders to create an annual academic calendar for the College.
* Support the Ethics Committees by administering the ethics application process, ensuring timely responses and providing overall administrative support to the Ethics Committees.
* Provide administrative support for the internal Annual Review process.
* Provide administrative support to the Patient Participation Panel.
* Assist with organising events, conferences and workshops including booking venues, organising refreshments, coordinating communications and related tasks.
* Liaise with guest lecturers and visiting researchers for the College and Schools.
* Liaise with Professional Services to ensure awareness of correct procedures and processes and advise staff as necessary.
* Develop and maintain systems and ensure files and data required by staff members and other stakeholders are available when required.
* Assist in the process of gathering information for returns and reports.
* Support and contribute to the administrative governance of the College by supporting regulatory and compliance activities, ensuring confidentiality and safety of personal data in line with GDPR requirements.
* General office management duties and handling enquiries.
* To work across functional team boundaries as part of a larger College Administrative Team to ensure core support services are maintained, particularly during holidays, absences and peak times.


Requirements

Qualifications/Training

* Essential: Educated to AS/A level or NVQ level 3 (or equivalent) in a relevant subject area or possess relevant administrative experience.
* Desirable: NVQ level 4 in a relevant subject area.

Experience/Knowledge

* Essential: Experience of working within a busy office/administrative environment; experience implementing and maintaining administrative systems and procedures; proficient in Microsoft Office; extensive experience organising meetings and minute taking; experience of event organisation.
* Desirable: Experience in an academic environment; experience taking responsibility and making decisions with appropriate consultation; understanding of higher education research environments; understanding of postgraduate research student support.

Skills/Abilities

* Essential: Good communication and interpersonal skills; ability to develop relationships at all levels; excellent organisational skills; ability to prioritise and meet deadlines; accurate data entry; proactive identification of improvements; ability to work independently; confidentiality and knowledge of GDPR.
* Desirable: Experience developing administrative systems; experience using Bangor University systems.

Other

* Desirable: Welsh language ability; opportunities to learn if not currently proficient.
