Studio Manager – Leeds Salary: Circa: £30,000 – £40,000 per annum (pro-rata, dependent on experience) Contract: Permanent | Full-time or Part-time (flexible working considered) Ideal Start Date: January 2026 Join Us as the Heart of Our Leeds Studio Gillespies LLP is one of the leading landscape architecture, environmental planning and urban design practices, with offices across the UK. We are looking for a highly organised, proactive, and people-focused Studio Manager to take the lead in keeping our Leeds Studio running smoothly and efficiently. This is a very varied and rewarding role, perfect for someone who enjoys being at the centre of studio life, supporting teams, solving problems, coordinating and progressing projects, and ensuring everything behind the scenes works seamlessly. You will work closely with the Partners and Senior Management Team, while collaborating with support teams across our other offices on practice-wide initiatives and events. Whilst we would consider this a full time role, we would also happily consider experienced applicants who would like to work reduced hours (subject to a minimum of 3-days / 22.5 hours per week). What You Will Be Doing Leadership & PA Support Act as a key member of the North Management Team Attend and minute Local & Regional Management Team meetings Provide high-level diary management, travel booking (UK & international), visa administration and logistical support to our Partners & Senior Leaders Arrange other travel, e.g. car hire for staff across the studio Finance & Project Coordination Work with the Finance team on project financials and submissions in Deltek Vantagepoint Generate, issue, and follow up on invoices Assist Project Managers with project performance monitoring, reporting, and profitability reviews Manage resource planning sessions and data within Deltek VantagePoint Support internal audits and coordinate client satisfaction feedback Marketing & Business Development Support the Marketing team with Leeds studio promotions, social media stories, project sheets and sustainability data Identify and manage new opportunities, tenders and expressions of interest Attend networking events and conferences Coordinate internal business development meetings and B2B opportunities Events & People Support Organise office social events and hospitality Plan and maintain a regular calendar of events, including CPD sessions Support HR with recruitment, onboarding, staff records and wellbeing initiatives Act as a mental health first aider and buddy coordinator Manage appraisals, absence tracking and approvals Studio Administration & Facilities Oversee day-to-day office operations, from supplier invoices and stationery to reception duties Manage facilities, maintenance, post, and landlord relationships Help maintain excellent Health & Safety and Quality Assurance standards Support IT with the coordination of helpdesk queries, file archiving and local software issues Dealing with local IT issues – splashtop, software, router, wifi What We Are Looking For Knowledge & Experience Strong administration experience A degree in Business Administration (or similar) is desirable, but equivalent experience is highly valued Confident user of MS Office; experience with Deltek Vantagepoint or similar systems is a plus Strong understanding of customer service, health & safety and quality assurance principles Experience supporting HR, facilities management and senior-level meetings Skills & Attributes Positive, friendly and approachable An excellent communicator with strong interpersonal skills Highly organised, with outstanding diary management and attention to detail Able to balance multiple tasks and deadlines under pressure Confident at minute-taking, planning events and making sound decisions Able to work both independently and collaboratively Problem-solver with strong critical-thinking skills Why You Will Love Working With Us You will be part of a collaborative, supportive and sociable studio where your role genuinely makes a difference.
