Responsibilities
The Compliance & Risk Analyst will work with business area owners and stakeholders across Real Estate, Facilities & Infrastructure Management (REFIM) as well as the corporate Compliance, Legal and H&S teams. Under the direction of the Compliance & Risk Manager, you should be competent to work on your own initiative to deliver on key strategic group, service line and team objectives.
* Conduct and document incident investigations and remedial management.
* Develop the internal monitoring and oversight framework and implement it across business processes, including a framework and calendar; undertake internal reviews as necessary.
* Provide information to assist in the production of KPI reports and dashboards for Head of Operations, Service Line leads and Global Risk & Compliance as required.
* Highlight areas for continuous improvement to mitigate risks and identify opportunities for best practice; work with relevant teams and IT to implement as needed.
* Update and regularly review the REFIM Risk Register to monitor risks, assessing likelihood and impact.
* Support the REFIM Training Manager within Learning & Development: assign training modules, issue communications, and track attendance and progress. Full training on systems will be provided.
* Plan and conduct internal monitoring; ensure timely and accurate reporting of internal control matters.
* Coordinate with service line heads and team managers to close out actions and implement recommendations.
* Assess process risks and adequacy of controls, identifying opportunities for improvement.
* Stay informed about corporate governance, regulatory and legal procedures.
* Liaise with external auditors, ISO 9001 auditors, and the internal Global Risk & Compliance team to progress audits on time.
* Assist in maintaining and implementing compliance & risk policies and procedures.
* Support all service lines and teams in risk identification, reporting and management, including updating the REFIM Risk Register and developing procedures and dashboards of key risk data.
* Contribute to KPI performance oversight, including service charge performance, property health checks, timecard reporting, competency and offboarding readiness assessments.
* Champion continuous improvement of procedures and processes.
* Assist in creating and delivering training on compliance, risk, regulatory adherence, and process changes to keep knowledge current.
* Manage the Compliance and Risk mailbox daily and respond or escalate queries as appropriate.
* Develop and maintain effective relationships with internal stakeholders.
* Assist the REFIM Training Manager to schedule and communicate training courses, track attendance and report progress.
* Some travel to regional offices will be required.
Qualifications
* Ability to formulate compliance procedures, processes, and controls.
* Self-starter with excellent time management and ability to work to tight deadlines.
* Effective communication and influencing skills at all levels.
* Excellent stakeholder management and relationship-building across teams.
* Internal audit experience with the ability to implement and deliver clear results and actions tracked to completion.
* Knowledge of RICS governance, particularly Client Money Handling rules and Service Charge Code of Practice.
* Advanced Microsoft applications skills, especially Excel for reports and dashboards.
* Working knowledge of data management regulations such as GDPR (desirable).
* Familiarity with scoping and implementing ISAE3402 accreditation (desirable).
* Knowledge of property management accounting systems such as Yardi Voyager (preferable).
