Detailed job description and main responsibilities
* Work autonomously to organise diary commitments and engagements using discretion and own initiative. Act as the initial point of contact for the Management Office of the LBRC CV Them
* Monitor and maintain the Appraisal database for all of the theme, and upload data onto ESR to ensure that appraisal dates are recorded and increment awards are processed within time schedules.
* To review and remind other senior managers within the team of upcoming appraisals.
* Arrange, attend and produce high quality, comprehensive minutes of meetings and take appropriate follow-up action as required by the management team.
* Supervision of administrative duties associated with the receipt, collection, handling, production and distribution of written materials and electronic records
* Line management, supervision, support and development of the Administrators within the theme.
* Maintaining and setting up the finance trackers and invoice trackers; liaising with R&I Finance, Sponsor companies and lead research staff when required.
* Assist the Cardiovascular Research Operations Director with the financial management of clinical trials, from study opening to close down, requesting invoices, credit notes, dealing with any financial queries in an accurate and timely manner.

Training and Qualifications
Essential criteria
* 4 GCSEs or equivalent including English
* Willingness to undertake training on specific departmental computer systems
* Recognised administration qualification eg. NVQ Level 3 or equivalent administrative experience
Desirable criteria
* GCP Training
* Experience of NHS IT and patient information systems
* Qualification in Accountancy or equivalent
Experience
Essential criteria
* Experience of an administrative role within a healthcare environment
* Experience of supervising / managing junior staff members
* Experienced minute taker at senior (Board) level
* Experience of using software programmes eg. Microsoft Office
Desirable criteria
* Familiarity with medical / scientific terminology especially within a research environment
* Awareness of research governance guidelines and policies
* Previous experience of working under pressure to a deadline
* Working with finance systems (invoicing/ budget tracking), especially within NHS

Disclosure and Barring Service Check
Please note if you are successful in obtaining this position and the post involves regulated activity you will be required to undertake a Disclosure & Barring Service check.
The Trust will pay for the check initially and the money will then be deducted from your salary over a three month period commencing on your first month's payment.
The current price of a check is £38 for an enhanced and £18 for a standard check.
