Referral Administration Assistant (Part Time)
This is a Fixed Term role for 12 months Maternity Cover
Arc provide supported accommodation and outreach services to those experiencing homelessness in Somerset. We are looking for a Referral Administration Assistant to offer administrative support to the wider organisation with specific focus on providing a welcoming and professional service to prospective clients, supporting them through the referral pathway
As a Referral Administration Assistant, your key responsibilities will be, but not limited to...
* Supporting prospective clients through the referral pathway; Monitoring referral platforms, administrating referrals, liaising with prospective clients, assisting in the completion of referral forms, signposting, booking in needs assessments through maintaining a calendar for appointments/assessments
* Liaising with external services in relation to referrals
* Supporting clients and managers within needs assessments
* Coordinating client welcome packs including the management of stock levels
* Purchasing administration: managing purchase requests, liaising with budget holders, finding suitable suppliers and order goods in relation to client support and room-readiness.
* Assisting with client surveys and gaining client feedback during and following a client's journey with Arc
* Supporting the wider team with client comms as required
* Assisting with data collection and data input for various projects
* Handling enquiries from various stakeholders received through multiple inboxes, over the phone or visits to the office
* Assisting with the storage, coordination and distribution of gifts in kind donations
* Supporting the fundraising team with donation enquiries, donation acknowledgement and data input
* Supporting the development team with event preparation when required
* Carrying out other general administrative duties consistent with the nature of the post and in order to cover the work of the other administrative roles during any periods of absence.

Hours:
Core working hours Monday – Thursday, 30 hours per week.
Location:
Based at our head office at The Crescent with the requirement to visit other sites within Somerset.
We are looking for:
Candidates with experience supporting vulnerable individuals, an understanding of homelessness and the issues surrounding people with complex needs, such as substance misuse or mental health and a commitment to Arc's values and empathy with clients
You will need good verbal, written and technical communication skills, along with administration experience, using Office 365 and its suite of products.
Strong interpersonal skills, to deal with a diverse range of people and the ability to prioritise a diverse workload of and an understanding and commitment to equality, diversity and inclusion Understanding of principles of data protection, data and cyber security
The ability to act as part of a co-operative team, offering and asking for support when appropriate.
Candidates must be able to drive, have a valid full driving licence with access to a reliable vehicle, insured with business cover.
