Role Purpose
To support the successful coordination and delivery of tender submissions within the Pre-Construction team.This role provides essential administrative and document control support, ensuring that all tender documentation is accurate,pliant, and submitted in line with client requirements and deadlines.
Main ResponsibilitiesTender Administration & Coordination
1. Provide administrative support to the Pre-Construction team across all tender and framework activities
2. Coordinate tender documentation from initial receipt through to submission and post-submission stages
3. Maintain tender registers, trackers, submission schedules, and pipeline information
4. Monitor opportunity trackers and assist with identifying suitable opportunities for review
5. Support the preparation and submission of PQQs, ITTs, and framework applications
Document Management &pliance
6. Manage electronic filing systems, ensuring records are well maintained and easily accessible
7. Upload and download documents via procurement portals and e-tendering systems
8. Maintain libraries ofpany policies, accreditations, and standard submission content
9. Ensure all documentation meets requiredpliance and client specifications
Stakeholder Coordination
10. Liaise with internal teams including estimators, planners, and bid writers to obtain information for submissions
11. Coordinate input from external partners and supply chain contacts
12. Monitor clarification deadlines and support the management of client queries and responses
13. Arrange meetings, workshops, interviews, and presentation logistics
Administrative Support
14. Administer central team inboxes, prioritising and distributingmunications effectively
15. Assist with the preparation of supporting documents such as CVs, case studies, and project references
16. Support document control processes including revisions, updates, and distribution
17. Assist with general administrative duties across the Pre-Construction function
18. Contribute to lessons learned and feedback processes following submissions
Skills & KnowledgeEssential
19. Strong administrative background with experience in document management or coordination roles
20. Excellent writtenmunication and document formatting skills
21. High level of accuracy and attention to detail
22. Strong organisational and time management skills with the ability to manage multiple deadlines
23. Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
24. Ability to work collaboratively within a team environment

25. Previous experience within construction, civil engineering, or infrastructure sectors
26. Experience using e-tendering platforms or document management systems
27. Understanding of tendering or pre-construction processes
