Job Title: Document Controller Location: Dunfermline, Scotland (Hybrid/Flexible Working Considered) Salary: £35,000 Contract: Full-time, Permanent (39 hours per week) About the Role We are currently recruiting for a highly organised and detail-focused Document Controller to join our team in Dunfermline. This is a key position responsible for overseeing the management, control and governance of company and project documentation, ensuring all information is accurate, secure, compliant and easily accessible. The successful Document Controller will play a central role in supporting operational efficiency by maintaining structured systems, improving document workflows and ensuring teams have access to reliable and up-to-date information. Key Responsibilities Document Control & Information Governance Lead and manage document control systems and company databases. Develop and maintain procedures relating to document integrity, classification, compliance and security. Oversee version control, metadata standards and structured archiving processes. Manage the creation and maintenance of both digital and physical project files. Control QA/QC documentation from manufacturing and installation phases. Maintain strict confidentiality of sensitive project and company documentation. Review and implement project documentation in line with BIM protocols and required industry standards. Identify improvements to existing document control processes to enhance efficiency and compliance. Team Leadership Oversee and support the document control team, providing guidance, structure and development. Set clear objectives and ensure best practice document control standards are maintained across the organisation. Work closely with the document control team to prepare and issue Operation & Maintenance manuals at project completion. Data & Systems Management Support reporting functions by ensuring structured, accurate and accessible data. Introduce and manage data capture tools to monitor and report on: Carbon emissions Training compliance Quality control metrics Collaborate with Senior Management to further integrate digital systems and drive full process digitalisation. Essential Skills & Experience Proven experience working as a Document Controller or in a similar document management role. Strong knowledge of document control systems, digital platforms and database management. Excellent organisational skills with high attention to detail. Strong communication skills with the ability to work cross-functionally. Ability to manage multiple priorities effectively in a fast-paced environment. Desirable Experience using document control platforms such as SharePoint, Viewpoint, BIM360 or similar. Previous experience within manufacturing or construction environments.
