Our client based in Lewes are looking for a Receptionist and Administrator to join their team.
Job Description
The key responsibilities of a Receptionist and Administrator will be;
* Switchboard duties - primary responsibility for handling all incoming telephone calls, providing a courteous and professional service to clients, transferring calls to the appropriate teams, taking and passing on messages promptly and accurately
* Reception duties - answering front door, receiving visitors in a professional manner, providing drinks
* Co-ordinating meeting room bookings using in-house system - allocating rooms, resolving any date/time clashes, allocating parking spaces, providing drinks for client meetings
* Receiving and scanning incoming post daily, uploading onto internal systems, emailing scanned post to appropriate individuals
* Collecting, franking and dispatching outgoing post, liaising with Royal Mail and booking couriers as required
* Scanning & filing of clients tax paperwork in a timely & organised manner
* Running and distributing standard reports once a month, training will be provided
* Organising of Basement filing system and liaising with shredding company when needed
* Assisting with mail merges and newsletters if required
* Stationery monitoring and ordering
* General office upkeep/organisation
The Successful Applicant
The successful Receptionist and Administrator will have;
* Minimum of 12 months experience in Reception and office administration
* Good working knowledge of Microsoft packages and a keen interest in developing IT knowledge
* Diligent and organised
* Excellent telephone manner
* Good customer care skills
* Good attention to detail
