JOB TITLE Office Administrator
REPORTS TO Office Manager
We are seeking a proactive and reliable Office Administrator to join our dynamic team. As an Office Administrator, you will play a vital role in ensuring the smooth and efficient operation of the office by handling administrative tasks and keeping the outsourced service department organized and updated daily.
PURPOSE OF ROLE
To work alongside our service provider to facilitate organized and smooth visits of Technicians to customers. To complete all admin tasks efficiently and support team members.
To organize and plan the required work on customer premises, ensuring smooth operations by coordinating with customers and Technicians.
KEY RESPONSIBILITIES
* Deal directly with customers via phone and email, produce quotes and invoices, process credit card payments, request Purchase Orders, advise customers, and help resolve queries.
* Liaise with customers and the service provider to organize daily work schedules, booking jobs at customer premises across the UK to accommodate both customers and Technicians, and recording relevant details.
* Keep schedules fully updated and respond promptly to customers regarding cancellations or changes.
* Use job sheets for follow-up calls, parts requests, creating certificates, and invoicing. Update records using Word and spreadsheets.
* Pick and book parts for invoices, ensuring stock levels are accurately recorded.

Work Experience
Administrative experience within a fast-paced commercial environment, such as servicing.
Skills and Abilities
* Excellent planning, organizing, and customer service skills.
* Effective issue resolution skills for customer concerns.
* Good geographical knowledge of UK roads for planning journey times and staying updated on journey difficulties.
* Ability to plan and prioritize own work.
* Effective and prompt communication with customers via phone and email.
* Attention to detail.
* Proficient with Word and spreadsheets.
