The post-holder will be responsible for providing a full range of administrative and secretarial support functions to Director and Assistant Director Level as required. This will require the planning, prioritising, and monitoring of workload to ensure efficiency and accuracy at all times, including gathering information, proposing solutions, and taking action to solve problems as appropriate.
KEY DUTIES / RESPONSIBILITIES
1. Organise and maintain diaries, ensuring the Director/Assistant Director is well prepared for meetings with relevant supporting agenda and paperwork.
2. Utilise Microsoft Office applications to produce high-quality documents, presentations, and reports.
3. Ensure all information is produced in line with current legislation, policies, and procedures within the Trust, in a timely, accurate, and confidential manner.
4. Provide administrative services for committees, meetings, and projects, including organising meetings, issuing agendas, supporting documentation, and following up on actions. Take minutes as directed.
5. Develop and maintain office administration systems to manage paper flow, organise and store paperwork, documents, and electronic information, and monitor management information systems and filing systems.
6. Monitor and request orders for office stationery to maintain adequate supplies.
7. Arrange travel and accommodation, and support workshops and events as required.
8. Verify invoices related to travel arrangements, course attendance, and hospitality.
9. Welcome visitors, arrange/provide hospitality as needed.
10. Staff Management
11. Supervise and delegate work to subordinate staff, ensuring tasks are completed to quality and time standards.
12. Provide training to less experienced staff when required.
13. Participate in staff selection and interview panels as needed.
14. General
15. Ensure compliance with statutory regulations, Trust policies, and procedures.
16. Engage in staff development programmes, annual reviews, and further training, adhering to equality and diversity legislation and policies.
17. Work in line with the Trust's mission and values, demonstrating integrity and professionalism.
18. Continuously update own knowledge and skills, contributing to personal work objectives.
19. Possess excellent communication and interpersonal skills for effective work with clients and colleagues at all levels.
20. Work effectively as part of a team and independently, prioritising workload to meet tight deadlines.
21. Undertake other duties relevant to the post as assigned, consistent with the responsibilities of the Band.
