Overview

We are seeking a reliable and proactive Part-Time Finance & Office Assistant to join our small, family-run, female-owned business. This flexible role is ideal for someone who is dependable, uses initiative, enjoys a challenge, and understands the importance of confidentiality.


Key Responsibilities

* Working directly to the CEO, acting as a personal assistant and coordinator between the various managers within the business and Head Office.
* Managing day-to-day financial tasks using Xero accounting programme.
* Assisting with invoicing, reconciliations, and expense tracking.
* Supporting the processing of salaries.
* Making payments to suppliers and managing related queries.
* Liaising effectively with our external accountant.
* Ensuring a robust financial management system is maintained between our salons and Head Office.
* Proactively identifying opportunities to improve financial efficiency and make savings wherever possible.
* Office Management: handling all aspects of Office 365 systems, including email and diary management for the CEO; implementing and maintaining efficient office processes and policies.
* HR & Communication Support: maintaining our online HR system, ensuring data accuracy and compliance; acting as the first point of contact for our group of salons and directing communications to Head Office.


Skills & Experience

* Proven experience with Xero accounting programme is essential.
* Proficiency in the full Microsoft Office 365 suite.
* Strong organisational skills with a track record of effective email and diary management.
* Experience in a similar administrative or finance role, ideally within a small or independent business.
* Familiarity with maintaining online HR systems is highly desirable.
* Excellent communication skills, both written and verbal, for effective interaction with salon teams and external partners.
* The ability to work independently and use your own initiative to solve problems.
* A high degree of reliability, dependability, and discretion.
* Must be willing to work in a home office/log cabin sometimes alone, or with a very small team.
