This role will provide a full range of executive support to the Chief Financial and Operations Officer, Chief People Officer and General Counsel & Company Secretary, as well as to their senior teams across 3 departments. This role will work on-site in our Grays Inn Road office. This is a job share position working 2 days per week - Monday and Tuesday. This role will start in February 2026. Key Responsibilities Provide full executive support to the Chief Financial and Operations Officer, Chief People Officer and General Counsel & Company Secretary and their senior teams as required. Efficient in complex diary management (including managing diary priorities, anticipating, and pre-empting future meetings, travel arrangements, meeting room bookings, catering and collating necessary paperwork) Attend internal meetings when necessary, preparing agendas, taking minutes and circulating action points/following up on actions as required Preparation of all documents (including bi-monthly divisional reports for the Board pack), correspondence and presentations in a timely and professional manner, including proof reading and editing where appropriate Archive and retrieval of files from storage Accurate, regular maintenance and implementation of filing and office systems, including filing confidential documents on HR files and legal contracts in folders, both electronic and hard copy Process requests for historical contracts and searching through electronic folders Inbox management - responding to select emails and correspondence knowledgeably Collect external guests from reception and prepare meeting rooms where needed (refreshments, equipment etc) Responsibility for all general administrative duties (raising purchase orders, processing supplier invoices, online expense claims, ordering of supplies, distribution of post) Manage team member holiday requests across People, Legal and Finance teams and record sick days Build a network of effective and positive relationships with a variety of stakeholders at all levels, including direct reports of Chief Financial and Operations Officer, Chief People Officer and General Counsel & Company Secretary Support the teams in People, Legal and Finance as required with ad hoc requests Perform back-up assistance and cover for the Executive Assistant to the CEO and Legal Assistants when required including periods of annual leave Maintain complete confidentiality and discretion on all matters Work closely with the other job share participant to ensure collaboration, ongoing communication/handover and success of the job share Key Requirements A corporate/legal secretarial background, and experience of working at board level advantageous Significant experience as a PA/EA to senior stakeholders Excellent knowledge of MS Office 365 packages Word, Excel, Outlook, SharePoint with a fast accurate typing speed of 70wpm Excellent level of accuracy and attention to detail essential Ability to meet tight deadlines and handle ever-changing workloads and priorities at a fast pace Willingness to work flexibly in a deadline driven environment Exceptionally organised with excellent co-ordination and prioritisation skills Proactive can-do attitude Confident communicator Ability to work well in a team, combined with a high degree of initiative Exceptional interpersonal skills Ability to interact and relate to all levels of staff and build strong relationships Sophisticated written and verbal skills Ability to discreetly handle sensitive and very confidential information High degree of initiative and ability to work well with little supervision Interest in the media and more specifically the news, an ability to keep up to speed with company developments
