Job Purpose: This role supports The HR, IT and Admin director in delivering an inclusive, supportive, productive and professional office environment. Delivering seamless IT services, administration and general office services which provide a stress free work environment. Contributing to an-inclusive HR support service to staff. Embracing and communicating our inclusive company Culture through its activities and incentives with encouragement of staff involvement and development. Main duties: Answer the main work phone ensuring that our customer care and service is our priority. Support HR, Admin and IT Director with all premises management and contracts to ensure all obligations are met and up to date. Responsible for managing the Company's IT & Communications through a third party provider to departmental budget. Manage all our office facilities, equipment and budgets. Be responsible for setting up new offices and or storage facilities if required, creating a work environment conducive to promoting our Culture. Monitor and manage all staff training based on our company mandatory criteria requirements and individuals personal development plans, by coordinating Training, seeking grants and funding and updating our company Training matrix. Support with verification documents for company accreditations to include quality control for ISO 9001. Support with the management of marketing activities, videos and photography for marketing activities and delivery of the marketing strategy, taking the lead on social media posts for Culture based topics. Manage the Companies vans including repair, maintenance, insurance, MOTs, and fuel cards and driver PCN notifications. Produce monthly reports for your Director on departmental budget spend. Monitor customer feedback and collate data As part of company Blue Scheme support in creation internal Training content for our company information Centre. Manage department diary to ensure expiration dates are monitored for all departmental activities. Actively encourage a strong team ethic by arranging regular and well thought out team building events and activities. Supporting the Orange Scheme designed to promote A S Ramsay's desire to contribute to the wider world, supporting its staff to become involved with charitable work. Actively arrange communal charity work to a budget and encourage our staff to get involved in their own charity work. Collate and report on KPI scoring for employees. Support our bonus and KPI initiative by sending out regular positive communication about successful projects, bonuses and staff who are going above and beyond. Support the HR function with document control, staff inductions, Recruitment process and support for line managers on HR topics and procedures. Support the HR, IT and Admin directors with other tasks from time to time. Person Specification : Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Minimum of 2 years experience in a similar administrative role. Have general HR employment law knowledge. Experience with office co-ordination. Familiarity with regulatory and quality compliance documentation. Awareness of data protection and confidentiality principles. Possess a can do attitude and be good with people.
