Responsibilities:
*
Manage the tender documentation process – downloading, logging, and tracking tender opportunities to ensure accurate version control.
*
Complete Invitation to Tender (ITT) and Supplier Questionnaire (SQ) documents to support new business submissions.
*
Coordinate site visits for the estimating team, liaising with clients and managing schedules.
*
Monitor and distribute all correspondence for live tenders, ensuring timely and compliant responses.
*
Review and proof quality responses prepared by the Bid Writer, ensuring high evaluation standards.
*
Support tender processes for fire door projects, including reviewing documents and preparing accurate quotations.
*
Raise purchase orders (POs) and create project files for new works.
*
Support project teams with administration, reporting, and certification for completed fire door projects.
*
Price small works projects as required, including fabric, mechanical, and electrical works.
*
Support both the Projects Operations Manager and Preconstruction Operations Manager with daily coordination and project documentation.
*
Onboard and maintain supplier and subcontractor records, ensuring all compliance, insurance, and accreditation documents are up to date.
*
Monitor supply chain performance through KPI tracking and feedback to maintain high quality and efficiency standards.
Skills & Experience Required:
*
Proven experience in construction or fire protection administration, bids, or estimating.
*
Strong understanding of tendering and project documentation processes.
*
Excellent communication and organisational skills, with the ability to manage multiple tasks simultaneously.
*
Proficient in Microsoft Office (Excel, Word, Outlook) and confident using internal systems and trackers.
*
Detail-oriented, process-driven, and comfortable working to deadlines
