Job Overview
The Excursions Manager is responsible for the promotion, organisation and running of all half‑day and full‑day excursions and for liaison with Group Leaders. This includes assistance to the Welfare Coordinator with student welfare, safety and security in residential accommodation. The role requires flexibility, initiative and strong administrative skills. The manager will work closely with the Centre Manager, deputise when required, manage a team of Activity Leaders and undertake necessary administrative tasks.
Responsibilities
Welfare
* Read and understand the supervision manual and staff handbook; be conversant with policies for the welfare and protection of children.
* Ensure each student’s cultural, religious and dietary needs are met and respected.
* Manage lights‑out duties and supervise other staff on pastoral care duties.
* Help students adjust to life in the UK and understand personal safety, British law and campus rules.
* Assist with airport transfers and student arrivals/departures.
* Be responsible for Health and Safety issues in accommodation buildings and undertake fire warden duties.
* Display information relating to fire, Health and Safety and medical emergencies on the information board.
* Liaise with Group Leaders daily, informally and at scheduled meetings.
* Assist Director of Operations with staff induction day and training of Activity Leaders.
* Not on duty between 1 am and 8 am.
Management of the Excursion Programme
* Prepare for excursions thoroughly, considering potential hazards and making necessary provisions.
* Ensure excursions comply with British Council and English UK guidelines.
* Communicate with coaches and vendors to confirm correct numbers booked.
* Cross‑check pre‑booked numbers for excursions with on‑campus numbers.
* Maintain appropriate staffing levels based on staff:student ratios.
* Ensure trip itineraries are correct and distributed to Activity Leaders.
* Ensure Activity Leaders pack for relevant trips and distribute in time.
* Ensure necessary instructions/directions given before trip start time.
* Promote excursions effectively to staff and students.
* Brief other staff on the procedures and risk assessments involved.
* Ensure packed lunches are distributed correctly on weekends.
* Maintain accurate registers of attendance.
* Communicate with Activity Leaders throughout excursions and deal with any issues that arise.
* Escort groups on excursions and lead by example if necessary.
* Control materials and equipment, return all materials after each trip.
* Provide feedback on the programme to the Centre Manager at the end of every week.
* Consult with Group Leaders and the Centre Manager to improve the programme.
* Plan, organise and book optional excursions with Group Leaders; consult the relevant Area Coordinator when in doubt.
* Deliver a high‑quality excursion programme.
Other Duties
* Assist the Centre Manager with staff induction day and training of Activity Leaders.
* Close the centre, return all St Andrew's College Language Schools equipment and write a final report to the Managing Director within five days after closing.
* Supervise Breakfast, Lunch and Dinner time as required.
* Keep student notice boards up to date and ensure information is accurate.
* Establish and maintain open communication between the centre, clients and the Centre Manager.
* Represent St Andrew's College Language Schools positively in all conversations with clients, staff and the host centre.
* Administration duties as allocated by the Centre Manager, including managing airport transfers, controlling petty cash or assisting the Centre Manager.
* Deputise for the Centre Manager when required.
* Additional duties as required.
Other Important Information
* You may be required to work in excess of 48 hours per week; evening and weekend work will be required.
* All staff accrue pro rata paid holiday during their period of employment.
* Holiday pay in lieu of untaken holiday is paid at the end of the contract.
* Pay will be processed for work undertaken until Sunday 20th July on Friday 25th of July.
* Pay will be processed for work undertaken until Sunday 24th August on Friday 29th August, plus all holiday pay accrued across the period of employment.
* Company t‑shirts, lanyards and ID badges are provided and must be worn at all times whilst on duty. Salaries are paid in arrears into a UK bank account on the last Friday of every month.
* Staff do not receive any overtime payment unless this is expressly agreed with the Managing Director.
* All staff must be employees of St Andrew's College Language Schools.
Disclosure Checks
To work with St Andrew's College Language Schools in the UK, in accordance with British Council accreditation criterion S4, you must provide a Disclosure (PVG from Disclosure Scotland /’Enhanced’ from Disclosure and Barring Service in England) dated within three months from the start date of employment in 2026. If you have been working abroad, you must provide the equivalent ‘police check’ from that country, specific to your suitability to work with under‑18s. Disclosure checks made through St Andrew's College Language Schools are payable by the employee (£18 to £67.50*) and will be deducted from your salary. The Company reserves the right to deduct the cost of these checks as soon as the process has started and regardless of the completion of the process. The company reserves the right to carry out PVG checks for all employees who don’t provide a suitable disclosure, unless otherwise requested by the candidate on acceptance of the job.
To work with St Andrew's College Language Schools in the US and Ireland, in accordance with company Safeguarding Policies, you will need to obtain a relevant Police Check for work in the US and/or Ireland, which again, will be payable by the employee.
Please bear in mind that the procedure of receiving a disclosure check usually takes 14 days (but could take up to a maximum of 18 weeks). If the disclosure is still pending at the commencement of employment, the employee agrees to comply with St Andrew's College Language Schools, Safeguarding and Recruitment and Selection policies.
