Overview
To work as part of the Access to Health Records team with specialist knowledge of the General Data Protection Regulation (GDPR) and the Access to Health Records Act 1990 (AHRA) in respect of complex and sensitive requests for information from patients and other sources within GDPR time frames and guidelines. The post holder will maintain good communications across the service handling telephone, email and postal enquiries promptly and professionally. The role requires the ability to work on own initiative and to collaborate as part of a team to compile Subject Access Requests within given timescales. A confidential and professional service must be provided in accordance with Trust policies and procedures. Flexibility to support extended day when necessary is essential.
Main duties
* Work as part of a team to deliver the Service, including but not limited to: Respond to subject access requests (SARS) within current legally recognised timeframes, analysing electronic and paper records and producing documents for Patients, Solicitors, Police, Government Bodies, Other Hospitals, Coroner, etc.
* Ensure compliance with GDPR/AHRA and Trust policies in respect of sharing information.
* Log all requests for access to health records on a database and keep the database updated at each step. Respond proactively to all SARS for patient information, ensuring GDPR/AHRA and service level agreements are adhered to. May involve face-to-face liaison with patients, relatives or police and may require witness statements relating to handing over medical records.
* Manage complex and sensitive verbal and written communications with patients, relatives and/or other parties or agencies in relation to SARS under GDPR/AHRA, including communication with healthcare professionals of all disciplines.
* Liaise with secretarial staff and consultants to ensure authorisation is received so that requests are completed within one calendar month of receipt.
Qualifications and experience
* Essential: Educated to GCSE Maths & English or equivalent grades 9-3 (A*-D).
* Desirable: NVQ level 3/4 or relevant experience; evidence of self-development.
Knowledge, experience and skills
* Essential: Awareness of confidentiality, dealing with enquiries/complaints in person, writing or by telephone, previous clerical experience, high accuracy and attention to detail, problem solving, good organisational skills, ability to work on own initiative, motivation to develop the role, effective time management, flexible working, sensitivity, confidence, goal-oriented, quality assurance, ability to cope with stressful situations, innovation and proactivity, excellent Microsoft package skills.
* Desirable: Experience with NHS health records, knowledge of retention periods for health records, knowledge of Cerner EPR, and knowledge of GDPR/AHRA.
Communication and relationships
* Essential: Good written and verbal communication skills; ability to work as part of a team to deliver the overall response.
