As an Estate Secretary at the Reay Forest Estate in Kylestrome, you will play a crucial role in supporting the Estate Manager and the wider estate team in ensuring the smooth operation of our estate office. Working under the direction of the Estate Manager, you will assist with diary coordination, administrative duties, and maintaining the Kylestrome office. You will support the Fleet & Facilities Manager in managing the administration and coordination of our properties, including security and boat shoreside administration. Your role will involve close collaboration with the Senior Estate Secretary and Heads of Department to coordinate activities and share information effectively. In addition, you will be responsible for arranging and booking travel and hotels for private families and staff. Handling incoming and outgoing mail, providing telephone answering and screening services, and producing accurate reports and documentation will be key aspects of your role. You will also ensure the office is maintained to a high standard, manage meeting room bookings, and monitor the stock of consumable goods. Supporting recruitment processes, collating payroll and HR data, and maintaining an efficient filing system will be part of your responsibilities. You will also process purchase orders and invoices, manage petty cash, and reconcile sales for estate income streams. Candidates should possess proficiency in Microsoft applications (Word, Outlook, Excel, PowerPoint), strong written and verbal communication skills, and attention to detail. The ability to multi-task, prioritize activities effectively, and provide a quality service is essential. A valid driving license is required.
