Operations Officer – NHS site

Salary: up to £30,000 per annum dependent on experience
Location: On-site at Broomfield Hospital (Essex) plus some travel to other office sites
Hours: Full time (37.5 hours per week)
Term: Permanent
Start date: ASAP

The role
This role provides vital management and administrative support to the General Manager(s), ensuring smooth delivery of project operations and strong communication across all stakeholders. You’ll act as a key link between project teams, service providers, and Trust/Authority staff to maintain a consistently high standard of service. Key responsibilities include:

* Support the General Manager in delivering and maintaining compliance with all obligations under the Project Agreement, finance documents, and associated contracts.

* Maintain a strong working knowledge of the Project Agreement, schedules, and related service provider sub-contracts.

* Assist with insurance and legal claims, ensuring all parties follow agreed procedures.

* Provide professional administrative support, including managing correspondence, records, and filing systems (both digital and paper-based).

* Schedule, organise, and coordinate meetings and project activities in line with the project plan.

* Attend multidisciplinary meetings and committees as required.

* Uphold high standards of communication and professionalism in all interactions (in person, by phone, and via email).

* Support the General Manager in overseeing contractor and subcontractor performance monitoring.

* Ensure service providers demonstrate contractual compliance, including:

* Adherence to policies, procedures, and legal requirements (e.g. Health & Safety, insurance, and employment law).

* Build effective relationships with Authority/Trust representatives and service users.

* Conduct site reviews and inspections when required.

* Coordinate the preparation and delivery of professional, timely project board packs.

* Collate reports and performance data to support management decisions.

* Assist in maintaining accurate and up-to-date documentation to support audits and compliance checks.

ESSENTIAL

* Proven ability to take ownership of tasks, proactively identifying and addressing operational or performance issues.

* Strong problem-solving skills, with experience navigating complex or multi-stakeholder environments.

* Excellent organisational skills with the ability to prioritise effectively and meet tight deadlines.

* Exceptional interpersonal and communication skills — able to build trust, confidence, and productive working relationships at all levels.

* Clear and confident in both written and verbal communication, with strong presentation skills.

* Promotes teamwork, shares information openly, and contributes positively to a collaborative environment.

* Self-assured, resilient, and able to remain composed under pressure.

* Professional, outward-looking, and confident, representing the organisation with integrity and enthusiasm.

* Competent user of Microsoft Office and related software, with the ability to produce high-quality documentation and reports.

DESIRABLE

* Experience working within a PFI (Private Finance Initiative) or similarly structured project environment.

* Understanding of complex contractual frameworks and relationships between stakeholders.

* Experience managing hard and soft FM (Facilities Management) service providers and monitoring performance.

* Familiarity with insurance claim management and compliance processes.

* Knowledge of quality, environmental, and health & safety standards, particularly within sectors such as healthcare or education.
