Key Responsibilities
* Executive Support Manage complex calendars, travel arrangements, and meeting logistics for the CEO and Chair. Prepare high‑quality presentations, reports, and correspondence. Act as a gatekeeper and liaison between the executives and internal/external stakeholders. Coordinate board meetings, executive offsites, and strategic engagements. Handle confidential information with utmost discretion.
* Paralegal & Governance Support Assist with drafting, reviewing, and managing legal documents and contracts. Support corporate governance activities including board minutes, resolutions, and filings. Liaise with external legal counsel and regulatory bodies as needed. Maintain legal and compliance records, ensuring timely updates and accuracy. Monitor deadlines for legal and regulatory obligations.
* Administrative Excellence Ensure smooth day‑to‑day operations of the executive office. Maintain filing systems (digital and physical) for legal and executive documentation. Support expense reporting, procurement, and budget tracking for the executive office.
Qualifications & Experience
* Proven experience as an Executive Assistant or Personal Assistant at C‑suite level.
* Paralegal certification or equivalent legal training is essential.
* Strong understanding of corporate governance and legal documentation.
* Excellent written and verbal communication skills.
* High proficiency in Microsoft Office Suite and document management systems.
* Ability to work independently, prioritize effectively, and manage multiple tasks under pressure.
What are we looking for?
We are seeking candidates who have a strong track record in working as an EA / PA at C‑Suite level as well as having a good understanding of legal documentation and administration. You will ideally have worked within a legal team or supported a senior legal manager.
