This is a rich and varied role offering the chance to be involved in all aspects of the smooth running of our office in the West End of Glasgow. The Office Support Coordinator will work closely with both the Office & Support Manager and the Ecology Operations Manager, as well as other members of the admin team to provide a great working environment and support for our award-winning environmental, planning, ecology and landscape project teams.
The role will provide you with scope to build on previous facilities, administration or reception experience, and in time, being the go-to person for all matters related to office facilities, meetings, events and travel. This is an office-based position and as our project teams work partly from the office and partly from home, you will play a crucial role in ensuring that the office runs smoothly and all staff are kept up to date with relevant day to day matters enabling them to carry out their roles effectively.
Day to day, you will have a stimulating mix of tasks: coordinating our various booking systems, monitoring our general office health and safety measures, keeping an eye on maintenance schedules, supporting project teams with their travel plans, making sure internal and external communications are flowing smoothly, and proactively spotting all the ways in which you can help us provide a happy and productive working environment!
Under the direction of the Ecology Operations Manager you will also provide the Ecology Team with administration support and during the busy ecology season there may be the occasional opportunity to assist with surveys, such as bat surveys, should this be of interest. The position does not require any prior knowledge or skills in ecology.
Examples of responsibilities include:
* Ensuring the office is safe and welcoming
* General office tasks; such as managing stationery and kitchen supplies
* Ensuring the maintenance schedule is actioned.
* Light reception duties including phone calls, couriers and mail (post and shared mailboxes)
* Welcoming visitors, arranging refreshments, and assisting with inductions of new colleagues to LUC
* Desk booking and meeting room management Making travel and accommodation reservations
* Ordering survey equipment and PPE as well as coordinating related services and repairs
* Booking training courses and maintaining the equipment and PPE logs / training records
The role includes the opportunity to share and participate actively in the management and ownership of the business through the Employee Ownership Trust, which places full ownership of the company with the employees.
This is a full-time position based on 37.5 hours, although part-time working may be considered. LUC has a strong track record in flexible working and we have been recognised for our flexible working culture, so we are happy to discuss a range of flexible working options for this role if desired.

The right person will meet these challenges with a helpful and positive attitude. This role also requires confident relationship building and communication at all levels within the organisation, as well as external contacts.
Experience and qualifications
* Experience within an admin, secretarial, reception or facilities role
* Good working knowledge of MS Word, Excel, and Outlook
* Good level of numeracy skills, written and spoken English
* Must be able to strategically organise and plan your workload
* Experience of using MS Teams, Adobe, SharePoint Intranet and document management systems, would be desirable, but full training on these will be provided
* An interest in the environment or experience of working in our sector would be advantageous, but not essential.
