Public Health Wales – Screening Pathway Administrator

Job Overview
Breast Test Wales is looking for a part‑time Screening Pathway Administrator who will support the delivery of national screening programmes in Wales. The role involves managing participant records, coordinating appointments, communicating with participants and healthcare professionals, and maintaining data integrity across multiple IT systems.
Key duties are delivered in a busy, sensitive environment and require excellent customer service and organisational skills.
Key Responsibilities
* Accurately manage participant records and pathways in line with data protection and governance standards.
* Apply knowledge and judgement to assess screening history, allocate pathways, and complete required failsafe checks.
* Coordinate appointments, ensuring efficient booking, rescheduling and cancellation processes.
* Act as a key point of contact, providing clear guidance and handling sensitive enquiries from participants, clinicians and healthcare professionals.
* Communicate screening information effectively.
* Support operational service delivery, including results processing and documentation management.
* Maintain compliance with national policies and contribute to audits, quality assurance and continuous service improvement.
* Maintain data integrity across multiple IT systems and national databases.
* Contribute to team effectiveness through collaboration, training support and proactive service development.
Essential Qualifications
* Minimum 5 GCSEs or equivalent experience.
* NVQ level 3 or equivalent in Business Administration or Customer Care, or willingness to work towards one.
* Previous administrative experience in a customer service environment.
* Good knowledge of Microsoft Office (Word, Outlook, Excel).
* Excellent communication, interpersonal and telephone skills.
* Ability to prioritise work, meet deadlines and work under pressure.
* Attention to detail and ability to maintain concentration amid interruptions.
* Proficiency in Welsh (speaking, reading, writing) – essential for this post.
Desirable Qualifications and Attributes
* IT related qualification.
* Experience in a health service environment.
* Knowledge of screening programmes.
* Comfortable conversing in Welsh with members of the public.
Working Pattern
Part‑time: Wednesday to Friday, 09:00 – 17:00 with a 30‑minute unpaid lunch break.
