The role:
The overall aim of the eHealth Directorate is to deliver and maintain a comprehensive integrated information, technology and record management strategy in order to ensure that the right information is provided in the right place at the right time, to support highest possible levels of diagnosis, treatment and care of patients and clients, to support continuous improvement of the health of the populations we serve and to achieve more effective integration between Health and the care services of our Local Authority partners.

Shift pattern - Wednesday - Friday 0830-1400
Key responsibilities:
o Maintain patient confidentiality in line with GDPR and Caldicott principles.
o Accurately manage patient records using TrakCare and electronic tracer systems.
o Handle, file, retrieve, scan, and prepare case records for clinics, admissions, and authorised staff.
o Manage telephone, face-to-face enquiries, mail, and deliveries efficiently.
o Provide reception and clerical support across hospital departments, including wards and Emergency Department.
o Support outpatient clinics, referrals, waiting lists, appointments, and patient correspondence.
o Assist in developing electronic patient records through scanning and indexing.
o Identify overseas/cross-boundary patients and process access-to-record requests in line with GDPR.
o Arrange interpreters and support major incident and contingency procedures.
o Handle cash, stock, training, staff cover, and ongoing professional development.
o Promote patient-centred care and act as a role model for NHSGGC values, dignity, and respect.
Knowledge, training, qualifications and/or experience required to do the job:
o National 4/Level 1 qualification in 3 subjects, including English, or equivalent.
o General administration or clerical experience desirable.
o Computer literate with good keyboard skills.
o Reception experience desirable.
o Experience with Patient Management Systems desirable; training provided.
o Strong organisational skills; able to prioritise and meet deadlines.
o Good communication and interpersonal skills with a range of professionals.
o Self-motivated and able to work on own initiative.
o Flexible and able to cope in stressful, pressurised environments.
