The Role
The postholder will complete training and induction at our Sandyford Central base. The post forms part of the business support team and provides administrative and secretarial service to the multi‑disciplinary team as required. The postholder is expected to work across more than one site.
For Bands 2 and 3 (if less than 32 per week). This role does not meet the eligibility criteria for a Skilled Worker visa or a Health and Care Worker visa. NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (CoS).
Duration, Location, and Working Pattern

* Full‑time position (37 hours per week)
* Shift pattern for this post are Monday to Friday, 8am - 8pm
Key Responsibilities
* Within Sexual Health Services you will provide an admin and secretarial service to the multi‑disciplinary team. The post involves reception duties, dealing with enquiries through our Telephony system, data input, record management, reception and mail duties.
* The post‑holder will also support the generic functions and duties administered within the wider administration and business support section as required over the city.
* To receive and direct patients and visitors to the appropriate person or department appropriately and efficiently in terms of reception, respecting confidentiality at all times.
* To deal with face‑to‑face and telephone enquiries and take appropriate action within clearly defined protocols assisting clients during all contact, on clinical (pass queries to appropriate medical staff) and non‑clinical matters.
* To operate main switchboard system including booking, rescheduling and cancelling interpreters if necessary and ordering and booking taxis and couriers.
* Accurate inputting of clinical data which may include outcome of attendance and onward referral.
* Maintaining and updating computerised and manual systems i.e. NASH for patient appointments and CHI database.
* Allocate and change appointments both face‑to‑face and by telephone. In emergencies block and unblock clinics directed by medical staff.
* Maintain an efficient and effective filing system which may include retrieval of files from off site storage, and/or files from other NHS departments, complying with the Data Protection Act.
* General typing and scanning if required.
* Operation of all office systems and machinery (see systems and equipment section).

Knowledge, training, qualifications and/or experience required to do the job:
With a flexible approach, you should possess excellent verbal and written communication skills, be able to prioritise workloads, accurately input clinical and non‑clinical data and be an effective team player.
Essential
* ECDL or Equivalent.
* Good planning and organisational skills.
* Good keyboard skills.
* Good written and verbal communication skills.
* Ability to work as part of a team and individually.
* Ability to respond appropriately to a wide range of duties in a non‑judgemental manner.
* Ability to follow protocols for work areas and contribute to review of the protocols.

Desirable
* Previous switchboard experience.
* Experience of data input.
* Proficient in Microsoft Office.
* Experience in working in a Sexual and Reproductive Health environment.
* Previous NHS experience.
