Administrative Professional – Global Investment Firm (12-Month Contract)
📍 Location: Central London (4 days onsite, 1 day WFH)

A leading global investment management firm is seeking a highly organized and proactive Administrative Professional to provide executive-level support to senior leaders within the Wealth Sales and Business Strategy teams across EMEA.
This role offers the opportunity to work in a fast-paced, international environment supporting dynamic senior executives and contributing to the success of one of the world’s most respected financial organizations.
Key Responsibilities
* Act as a strategic partner and gatekeeper to a Managing Director and several senior leaders, managing complex calendars across multiple time zones.
* Coordinate and organize executive meetings (both virtual and in-person), including room bookings, catering, and technical setup.
* Manage complex scheduling logistics, ensuring meeting materials and preparation are completed on time.
* Plan and execute events such as team meetings, strategy sessions, conferences, and social gatherings with full logistical ownership.
* Arrange international and domestic travel and handle expense reports promptly through Concur.
* Collaborate with a network of administrative professionals across regions to ensure smooth communication and coverage.
* Support with ad hoc projects and operational initiatives, helping drive efficiency across the team.
* Ensure monthly expenses are submitted accurately and on time for multiple executives.
* Deliver exceptional administrative support with professionalism, discretion, and attention to detail.
About You
* Experienced in supporting senior executives in a global financial services environment.
* Highly organized, adaptable, and able to manage multiple priorities under pressure.
* Confident communicator with excellent stakeholder management skills.
* Proactive and resourceful, with a team-oriented mindset and strong attention to detail.
* Proficient in Microsoft Office Suite and Concur (or similar expense/travel systems).
