This role is offered on a 5 month secondment or fixed term contract.

Staffing Solutions, our in house temporary staffing bank is growing and we're looking for enthusiastic and organised administrators to join our team so that we can continue to meet the demand that exists for our service.

The team supports the organisation to deliver safe and effective care to our patients through sourcing and engaging temporary workers across a variety of different specialities and professions. You will be liaising with managers, new temporary workers, current staff and agencies to ensure that the shifts are advertised appropriately, temporary workers are booked shifts and managers are kept up to date with progress.

You will have excellent interpersonal skills and the organisational and prioritisation skills required to work in a fast paced and challenging environment.

Resilience, customer focused and flexible you'll be able to change priorities quickly and adapt to new situations. You do not necessarily need experience of working in a temporary/bank office (although this may be considered an advantage) but you will need solid administrative experience in a highly demanding and high volume role.

We offer a friendly team environment with full support and training provided.

Working as part of a team you will be required to work on a rota basis. This will include a shift pattern of Early's, Late's, Day Shifts and Long days across the week with enhanced pay at weekends and bank holidays.

Detailed job description and main responsibilities


As a member of the Temporary Staffing Office, you'll contribute to the provision of an efficient and professional Temporary Staffing service.

The position includes ensuring compliance checks are in place for all temporary staff prior to undertaking shifts to maintain patient safety, monitoring demand and supply through the provision of management data and processing invoices and carrying out weekly payroll activities.

As the first point of contact, you'll provide excellent customer service for all queries related to temporary staffing to include providing guidance and support to all Bank workers within the Trust.

MAIN DUTIES AND RESPONSIBILITIES:

1. Administrative

1. To efficiently assist in the daily running of the Staffing Solutions Office.

2. To work as part of a team ensuring temporary staff bookings are processed efficiently and within the given timescales and criteria via the Allocate electronic system.

3. Answer all telephone and email enquiries, taking and relaying messages in a polite and helpful manner, taking action or escalating as appropriate.

4. To liaise with all external agencies as per departmental procedure and policy

5. To have full understanding of Trust agency agreements and the process required regarding the different levels of authorisation required for bank and agency bookings (for all groups of bank staff e.g. administrative, medical and nursing).

6. To provide wards and departments with relevant information as required.

7. To deal with incoming mail.

8. To verify agency invoices on a daily basis, by checking Invoice information and confirming accuracy using the Allocate database.

9. To assist with the maintenance of Bank staff personnel files, filing paperwork as appropriate, ensuring this is carried out in line with Data Protection requirements.

10. To monitor all Agency, Trust bank and pool bookings on allocate within agreed policies and guidelines.

11. To provide information and support to Trust bank and pool staff as required.

12. To assist with Trust reports as requested from data relating to use of temporary staff shifts

13. To collect and collate information regarding the staffing and skill mix of staff working in wards and departments

14. To provide administration support to the Office Manager/Temporary Staffing Manager to carry out other clerical duties as required.

15. Assist with RUH Staffing Solutions staff appraisal to identify development and training needs. To liaise with the Temporary Staffing Manager/ Office Manager/Clinical coordinator for advice and provision of appropriate development opportunities.

2. Recruitment

a) Assist in the selection, interviewing and on-boarding of Bank workers, ensuring a consistent joining experience.

b) Assist in the administrative functions of recruitment for other staff disciplines working via the RUH bank.

c) Liaise with colleagues in the wider People Directorate to include recruitment and HR issues.

d) Assist in the development of strategies for recruitment and retention, actively contributing ideas and suggestions to develop and improve in this area.

e) Be aware of relevant recruitment and employment legislation issues, accessing support and advice from manager and HR.


3. Education


a) Assist in the monitoring of mandatory training for all temporary workers

b) Act as a positive role model.


4. Communication


a) Be a point of contact for temporary workers on shift whilst maintaining relationships with Temporary Workers.

b) Provide guidance to Bank workers and refer to appropriate personnel as necessary.

c) Build effective relationships with department ward staff who are supporting temporary staff.

d) Attend open meetings that promote open discussion on work-related issues and suggestions for change, acting on suggestions and delivering results.

e) Establish and maintain an effective relationship with all approved secondary agencies.

f) Liaise closely with the Office Manager/Temporary Staffing Manager.

g) Escalate reports of clinical incidents/poor performance relating to Temporary workers to the Temporary Staffing Manager/ Office Manager/ Clinical Co-ordinator.
