Project Support Officer Location; London Office Based Salary upto £45,000 per annum We are looking for a bright and ambitious Project Administrator to join our team and work closely with both our Project and Central Teams. You will play a key role in supporting accurate commercial and financial reporting, ensuring contractual and regulatory compliance across multidisciplinary major infrastructure projects. This is a full-time role, with a strong presence in our London office (minimum 4 days a week), and offers the opportunity to contribute directly to the smooth delivery of some of our most exciting projects. Role & Responsibilities Larger Projects – Primary Role * Rapport support: Working with task owners to input fees, billing schedules, resource plans and subcontractor information * Timesheet completion: Ensuring timely and accurate recording, including from subconsultants Application for Payment / Invoicing preparation Expense preparation Updating trackers of all project processes Compliance: Assisting in the qualification and onboarding of subconsultants, including IR35 and H&S documentation (with support from Commercial and People Teams) Filing: Ensuring project documentation is complete and accessible in advance of any client or statutory audit Smaller Projects * Supporting project delivery and compliance processes * Rapport input: Fees, billing schedules, resource allocation, subcontractor information * Timesheet completion monitoring * Invoicing * Compliance: Ensuring subcontractor appointments and relevant IR35 and H&S documentation are in place * Filing and record-keeping Requirements * Minimum 4 years’ experience in a project support or administration role within the built environment (engineering/architecture preferred) * Experience using ERP systems (Rapport3 or similar) * Familiarity with NEC projects, including AFP, EWN and CE processes * Experience managing subconsultant appointments * Knowledge and experience of regulatory and contractual compliance, including conflict of interest, IR35, anti-bribery and CDM * Experience using client-side commercial project management software such as CMAR or Aconex * Proficient in Microsoft Excel, including pivot tables and VLOOKUP * Proficient in Microsoft Office (Word, Excel, PowerPoint) and SharePoint * High attention to detail and highly numerate * Fluent written and spoken English * Strong organisational and communication skills * Comfortable working in a fast-paced environment and managing multiple workstreams What we offer * Comprehensive pension scheme * Flexible working including 9-day fortnight scheme * Life Assurance – 4x Salary * Private medical insurance with access to WeCare 24/7 GP service * Health Assured Employee Assistance Programme * Cycle to work scheme and other benefits
