We are looking for a motivated, enthusiastic and compassionate individual to join our Safety and Risk Teams in the role of Safety and Risk Co-ordinator. The post holder is responsible for creating, implementing and maintaining administrative processes to support the Health and Safety Team, Head of Risk and Safety, Patient Safety Intelligence Manager and Director of Nursing and Quality in delivering the Trust patient safety, risk and governance objectives. The post holder facilitates the collection of information and evidence to support the Head of Risk and Safety in ensuring that Trust processes are followed for the management of National Patient Safety Alerts received via the Central Alerting System (CAS) and maintaining a comprehensive central register. Main duties Patient Safety and Risk Administration of the Trust processes for the receipt, evaluation and management of National Patient Safety Alerts. Maintain a central register of all Safety Alerts, to include Senior Responsible Officer, Monitoring Group, actions taken, evidence submitted and deadlines. Ensure that the Trust information/position is current and updated on the Central Alerting System (CAS) website ensuring Trust data is reported accurately Facilitate reporting to various Trust groups and committees to demonstrate Trust adherence and compliance with Trust Policy and national requirements. Support Quality and Safety Team Administrators with the completion of incidents reported within the Trust electronic safety and risk management system. Monitor the day-to-day process of Duty of Candour including appropriate escalation and providing assurance of robust audits. Provide administrative support to the weekly Patient Safety Oversight Group as required. Assist the Patient Safety Intelligence Manager in undertaking analysis of patient safety data to identify themes and trends Provide support and education to users of the Trust electronic safety and risk management system as required Support the Safety and Risk Team with the management of projects, gathering information and undertaking enquiries as and when necessary Health and Safety Provide initial triage for enquiries to Health and Safety Managers through effective management of the Health and Safety inbox and main telephone number. Manage queries that do not require the input of a qualified Health and Safety Manager and escalate those that do. Support the Health and Safety Team in the compilation of information and data for onward reporting to the Health and Safety Committee. Support the Health and Safety Team with the management of projects, gathering information and undertaking enquiries as and when necessary. Support the Health and Safety Team with reporting information to the Health and Safety Executive and other external agencies, as required. Support the Health and Safety Team with maintaining spreadsheets and similar applications used by the Health and Safety Team. Provide administrative support in planning training events and in the development of training materials. Support the continuing development and improvement of the Health and Safety Intranet site. General Administration Provide an efficient and confidential high level administrative service. Work without direct supervision and make day to day decisions within own remit and use initiative when to escalate to others Respond to communications including telephone calls and emails in a professional and polite manner, always adhering to confidentiality. Provide administrative support to any Safety and Risk related meeting, to include the preparation of papers, agendas, recording minutes and action logs. Prepare data from the Trust safety and risk management electronic system to be included in reports and papers, as required. Access hospital-based information systems to obtain information to support both the Health and Safety and the Quality and Safety Teams. Support Safety and Risk Teams to ensure compliance with external targets in relation to the risk register, incident reporting, complaints and claims. Key Requirements Candidates must hold GCSE English and Mathematics (Grade A-C or equivalent) and must have or be working towards, NVQ3 or equivalent Business Administration with expertise in Microsoft Office applications. Experience of adapting to the use of new electronic data management systems, creating reports and the ability to carry out basic data analysis is essential to the role, as is the ability to support others in learning how to do so. The Safety and Risk Co-ordinator links with staff across all departments and at different levels in the Trust so a high standard of written and verbal communication is of the utmost importance. The post holder also has access to sensitive and person-identifiable information and must be able to demonstrate a good understanding of the General Data Protection Regulation (GDPR).
