The Role:
We are looking for a highly organised and proactive Operations & Production Coordinator to join our team. This role is central to the smooth running of our day-to-day operations, from order and remedial processing to production scheduling and shipping logistics. The ideal candidate is detail-oriented, hands-on, and thrives in a fast-paced, collaborative environment.
Key Responsibilities:
Order & Customer Admin
* Process new orders, credit orders, and balance payments
* Manage Brightpearl backend: order updates, SKU corrections, stock levels
* Prepare and send shipping notifications to clients
* Maintain accurate customer records and documentation
Production & Fulfilment
* Manage production schedule (priority reports, rush orders)
* Liaise with the workshop to track progress and flag delays
* Oversee remedial orders and ensure timely resolution
* Ensure drop heights and custom specifications are accurately recorded and communicated
Logistics & Dispatch
* Coordinate dispatches and shipping documentation
* Manage any shipping issues or delays with carriers
* Administer and monitor loan stock and product movement
Finance & Credit
* Handle credit balances and credit note processing in collaboration with the accounts team
* Monitor and chase balance payments as required
Team Support
* Collaborate with sales, accounts, and management to ensure smooth operations
* Maintain internal documentation and operational log books
* Pitch in where needed — we're a small, supportive team, and flexibility is key
What We're Looking For:
* Experience in operations, production coordination, or logistics (ideally in a design-led or manufacturing environment)
* Proficiency with Brightpearl or similar ERP systems (training can be provided)
* Strong organisational skills and attention to detail
* Excellent communication and problem-solving abilities
* Comfortable managing multiple priorities with flexibility and a hands-on approach
* A team player who enjoys supporting others and taking initiative
Nice to Have:
* Experience in the interiors or lighting industry
* Familiarity with international shipping documentation and logistics
* Knowledge of basic finance processes (credit notes, invoices, etc.)
