We are recruiting for a Team Administrator who will be an integral part of our London office. The successful candidate will need a positive, ‘can-do’ attitude and be enthusiastic about providing high-level customer service. You will be responsible for delivering effective and efficient administrative support. We seek someone looking for longevity in this role, with experience in customer service. This role requires working in the office five days a week.
Responsibilities
1. Support the Office Manager in office operations, liaising with suppliers, admin support, and Partners
2. Organise office meetings and manage booking of meeting rooms
3. Assist with onboarding new staff, including issuing keys/fobs, lockers, and conducting induction tours
4. Cover reception duties at least twice a week, and during breaks and leave as needed
5. Serve as First Aider/Fire Warden (training provided)
6. Address office-related queries from colleagues and visitors
7. Raise invoices and assist with debt collection
8. Attend team meetings and take minutes when required
9. Print, bind documents, and prepare presentations
10. Manage jobs, purchase orders, and projects on Workspace
11. Organise team socials
12. Assist with fee letters, reports, formatting, and typing tasks
13. Update contact lists and directories
14. Book travel arrangements and manage PPE supplies
15. Support data entry and expense management for projects
16. Arrange travel and accommodation, including international trips
17. Order office supplies and refreshments
18. Assist in maintaining a positive office culture and presentation
Skills
1. Proficiency in MS Office Suite (Outlook, Word, Excel, Teams, etc.)
2. Excellent communication and telephone skills
3. Professional, friendly, and well-presented demeanor
4. Strong problem-solving skills and a proactive attitude
5. Excellent time management and organizational skills
6. High attention to detail
7. Self-motivated team player committed to providing support
